The successful candidate will be required to complete a Criminal Record Check, in accordance with the duties of this position. This contract position offers a wage rate of $65,283.02 ($35.87) to $77,523.59 ($42.60), 35 hours per week until December 2026 (with the possibility of extension). Position Summary

Reporting to the Fleet, Facilities & Transit Supervisor, the Facilities Project Coordinator & Assistant Transit Supervisor is responsible for the daily coordination and scheduling of both regular facility maintenance, including project and contract coordination, as well as transit activities, ensuring efficient and effective service delivery. This role also involves managing capital projects within the department for both facilities and transit, overseeing their planning, execution, and completion.

Duties & Responsibilities

Project Management

  • Coordinates the work completed on capital projects within the department from inception to completion.
  • Develops project plans, including timelines, budgets, and resource allocation.
  • Coordinates with internal and external stakeholders to ensure projects are completed on time and within budget.
  • Monitors project progress, providing regular updates to the Fleet, Facilities & Transit Supervisor and other relevant parties.
  • Conducts risk assessments and implement mitigation strategies to address potential project issues
  • Prepares Request for Proposals (RFP), Request for Quotations (RFQ), and tender documents. Reviews submissions, participates in the selection of proponents and awards, and makes recommendations to senior staff.
  • Assists in the development of project related capital budget submissions and associated operating costs with regards to transit and facility focused projects.
  • Implements recommendations set out in Environmental Assessments, Master Plans, Studies, and municipal initiatives as it relates to facilities and properties.
  • Reviews, examines, and provides comments on drawings, plans, reports, and specifications, regarding development applications and capital projects to ensure compliance to applicable guidelines, practices, procedures, standards, and regulations, forwarding comments to Manager or Director for review when required. This involves the review of plans and designs for Town facilities and parks-related systems including leased properties.
  • Completes minor repairs and addresses facility needs as required including scheduling regular facility maintenance and working with or providing direction to a variety of contractors.

Transit Coordinator

  • Plans, coordinates, and schedules daily transit operations to ensure optimal service delivery.
  • Monitors transit activities, addressing any issues or disruptions to maintain smooth operations.
  • Coordinates with drivers, maintenance staff, and other relevant personnel to ensure vehicles are in good working order and schedules are adhered to.
  • Handles customer inquiries and complaints, providing resolutions and maintaining a high level of customer satisfaction.
  • Coordinates the purchase and installation of Transit advertising space.
  • Coordinates the day-to-day operations of the Town\xe2\x80\x99s Transit Service, including the operation of conventional and the accessible transit contractor. Transit Services are provided six days a week and between 10-12 hours per day.
  • Works closely with the Fleet, Facilities & Transit Supervisor as well as Provincial and Regional Service Providers and Agencies on new and existing initiatives in the Transit Services area. This may include projects such as integrated fare systems.
  • Receives and responds to complaints and inquiries regarding the Transit Service.
This position will act as a resource to, and implement directives of, the Fleet, Facilities & Transit Supervisor. This position is required to take some calls outside of standard business hours. (e.g., being on call or ability to respond for Transit & facility maintenance issues per the on-call schedule) and may be required to attend on site in the event of an emergency. As the Assistant Transit Supervisor, acts as main point of contact for Transit staff in the absence of the Supervisor of Fleet, Facilities & Transit.

Qualifications and Requirements

  • Diploma in Building Systems Engineering Technology, Building Science, Project Management, or related studies.
  • Two (2) to three (3) years of experience with maintenance management. Experience within a municipal environment would be preferred.
  • Progress towards a related Professional Designation would be an asset.
  • Outstanding written and verbal business communication skills.
  • Proven success at accomplishing results through teamwork, using effective delegation and empowerment techniques.
  • Highly organized, flexible and able to work effectively in an environment where priorities change rapidly.
  • Proven ability to foster a cooperative work environment, individual employee and team development, combined with strong performance management skills. Strong analytical skills, ability to analyze budgetary expenditures for compliance with approved budget, identify cost saving / value add opportunities.
  • Skilled in examining and re-engineering procedures, formulating policy, developing and implementing new strategies and procedures for maintenance and facility operations.
  • Strong knowledge of Federal, Provincial, and local regulations, Building and Fire Code, Health and Safety regulations, etc.
  • Excellent interpersonal, communication, team building and project management skills with the ability to use tact and discretion and to deal courteously and effectively with a wide range of vendors, trades people, managers, directors, supervisors and staff. Ability to deal independently and professionally in any situation.
  • Experience writing specifications, scopes of work, and procuring using RFP\xe2\x80\x99s, RFQs, and tenders.
  • Strong systems skills (e.g. swipe card security, fire, building HVAC control, scheduled preventative maintenance) and experience with Microsoft Office Suite (Outlook, calendar management, Excel, Word, and PowerPoint).
  • Valid Ontario Class G Driver\xe2\x80\x99s License and access to a reliable vehicle is required. Ability to travel within the community as required.

Effort/Physical Demands

  • Physical demand requires potentially long periods of standing, sitting, walking, pushing, pulling, crouching, kneeling, or lifting.
  • Visual attention for health and safety compliance and personal safety while on the job.

Working Conditions

  • Normal work week is 35 hours, Monday to Friday. Will be required to work on an on-call basis.
  • Working environment includes an in-office environment and outside.
