Job Duties:
Responsible for the tracking and management of BGCCVI's facilities, fleet and technology assets including preventative maintenance programs, fleet insurance and major repairs, using a project management
approach.
Monitors and carries out preventative maintenance procedures and schedules for buildings, equipment and grounds in coordination with the Leadership Executive Assistant.
Performs basic maintenance and repairs to agency program locations/vehicles.
Works with the Leadership Executive Assistant to coordinate the ordering, checking, and receiving of cleaning and maintenance supplies for effective operations of all BGCCVI locations.
Manages and assigns work to external maintenance providers and contractors as required, in accordance with organizational priorities.
Support administration in the tracking, budgeting, and accounting of all capital/maintenance tasks and operations.
Work with lessees of BGCCVI's owned properties to support their needs whilst maximizing value to the organization through a proactive facilities management
program.
Provides clear and concise communication in all aspects of the role within the organization and to external service providers, funders
etc.
Maintains monthly and annual reports in the area of asset management for review by the Leadership
Team.
As part of facilities management, ensure snow and ice removal is undertaken and where necessary ensure locations have a proactive snow removal and ice safety program in
place.
As an integral member of Joint Operational Health and Safety, conduct regular site inspections and safety evaluations, documenting findings and corrective actions.
Oversee bi-annual internal inspections of BGCCVI program and administrative
locations.
Participate in Joint Health and Safety Committee (JOHSC) monthly meetings and follow up on action items.
Ensure a safe working environment for all personnel and third parties.
Additional operations and maintenance duties as assigned.
Qualifications
Successful completion of a certificate/diploma in administration, facility management, or related field.
2+ years of experience in a facility, transportation, asset management
role.
Experience in non-profit sector would be an asset
Working knowledge of Occupational Health and Safety Standards, including WorkSafeBC; Community Care Licensing; CARF or willingness to learn

Working conditions
The Facilities & OHS Assistant operates in a shared office environment and is required to be on site. The Facilities & Assistant will be required to travel for meetings, events or site visits as part of their role.
