Finance Accountabilities * Prepare requisitions, including review of specifications and scope of work documents for completeness and accuracy prior to submission.

  • Perform and evaluate incoming contract documentation for vendor exceptions. Review technical specifications, delivery requirements, commercial variances and vendor performance to ensure compliance with commercial contracts.
  • Maintain procurement records system ensuring information integrity that meets audit compliance and corporate records management policies and procedures.
  • Resolve process discrepancies, accounting change details as required.
  • Compile financial reporting relative to labour agreement requirements for review and submission by supervisor/manager.
Work Program Accountabilities * Participate and provide support to other Facilities & Real Estate activities and initiatives, as required.
  • Assist Supervisor in managing assigned portfolio of owned/leased facilities, monitor, evaluate and recommend changes and/or improvements to ensure efficient and effective completion of work in service level agreements or contracts, as required. Participate in the development, interpretation and implementation of standards, directives and procedures for the inspection, commissioning, operation, maintenance, performance and reliability for sites, buildings and building systems.
  • Assist in the development or revision of facility work programs to provide ongoing maintenance cycles and repairs consistent with economical and adequately reliable operation. Provide condition assessment programs as it relates to Hydro One buildings and facilities.
  • Assist in the development and implementation of property management/facility management programs and projects to meet the business requirement of the transmission & distribution business requirements.
  • Provide advice and recommendations on internal/external service providers capabilities on price, service levels and other deliverables.
  • Assist in discussions, problem solving and issue resolution with customers implementation and work performance of internal/external service providers service level agreements or contracts.
  • Identify and monitor requirements and processes for activities requiring completion by various work groups, to ensure delivery of service as agreed. Authorize release of work to service providers.
  • Prepare standards and specifications based on processes, service level agreements and contract policies.
  • Work with client groups to develop detailed studies and short term and long range plans relating to the use and maintenance of physical layout, furnishings and accessories, ergonomics, lighting, business equipment and telecommunications (ie, telephones etc) for the Supervisor. Participate in conducting studies and review of problem areas and make recommendations for appropriate solutions arrived at through work study, analysis, feasibility study and/or other techniques.
  • Evaluate cost benefits, methods presently in use, integration compatibility, staff effects, utilization of equipment, maintenance availability, etc. Ensure Corporate, Divisional, Department, Fire and Building codes and policies are met. Develop business cases for implementation of accommodation/facility improvements.
  • Work with line management, internal and external trades, suppliers, etc, to incorporate approved facility and services changes and ensure effective implementation. Ensure implementation of follow-up procedures to ensure satisfaction of users/clients and system operation and maintenance.
  • Maintain current knowledge of new technology and concepts in the facility management and services industries through published material, ongoing contact with suppliers, consultants, designers and external organizations.
  • Provide Line Supervisors with recommendations of facility management and services (ie, ergonomic furniture and accessories, economic space utilization, telecommunications systems and equipment, cost benefit of on-site vs off-site locations of staff or warehousing, etc) through study and analysis as they relate to the Department\'s effective utilization of staff and equipment.
  • Participate in the development and implementation of computer aided facilities management program.
  • Perform other duties as required.
Essential Competencies: * Requires a good knowledge of business administration related to commercial contract conditions.
  • Requires strong knowledge English to effectively communicate with procurement processes and procurement strategies.
Essential Experience: * Requires experience with Corporate financial and procurement policies, procedures and guidelines.
  • Requires extensive experience with SAP, MS Outlook, Excel.
