Job Profile: Unit Clerk


Qualifications

Secondary School Diploma 1 year Community College Diploma/Certificate in business or related program or experience.

Technical Competencies


Knowledge of basic payroll principles.


Working knowledge of Microsoft Word, Excel, Outlook.


Ability to operate office equipment.


Ability to read, write, and communicate effectively in English.


Experience


1 year experience in providing general office support.


Provide Human Resources Services for Nursing Staff

Nursing staff scheduling; filling empty shifts, fill stat holiday and vacation requests, pre-approve trade requests to ensure adequate coverage for DOC to approve, file and maintain nursing requests, checking and posting daily staffing compliments, Bi-weekly payroll. Understanding applications of provisions of collective agreement. Maintaining a positive relationship with nursing staff and resident interactions. Creation of admission charts, maintaining charts, culling charts/orders, discharge charts. Book appointments, transportation and facilitate lab visits for residents.

Clerical Support

Ordering, stocking, inventory, maintaining nursing supplies and incontinent supplies. Filing of resident charts, papers, nursing documentation. Answering phones, documenting, faxing, resident record management. Booking care conferences with physician and residents/agents.

Occupational Health and Safety Accountabilities

Carry out all assigned duties in compliance with applicable OH&S legislation and Company policy. Follow safe work practices as directed by their supervisor and as required by the applicable OH&S legislation. Participate in all required OH&S training. Use appropriate equipment and wear PPE or clothing as required by Extendicare. Report any known or identified health and safety hazards or violations to their supervisor. Refrain from any conduct that puts themselves, workers, contractors or others at risk.

Respect and preserve the privacy, confidentiality and security of health care and employee information at all times. Violations of this statement include, but are not limited to: Accessing confidential information that is not within the scope of the individuals' duties. Misusing, disclosing without proper authorization, or altering confidential information. Disclosing to another person the unique username or password for accessing the electronic confidential health care information. Using another person's username or password to access information. Discussing confidential information in a public area. Leaving confidential health care or employee information in a public area. Disposing of confidential information inappropriately. Extendicare's Code of Business Conduct and Standards of Employee Conduct policies are to be adhered to by the employee groups they apply to at all times.

Resident/Family Safety Accountabilities

In the interest of the safety of residents and family members, employees while on duty are accountable to carry out all assigned duties assigned within the scope of their job in compliance with applicable legislation, standards and company policy. Refrain from any conduct that puts residents' and family members at risk.

Reception and Storage of Nursing Supplies

Ensure supplies ordered are received, check packing slip against order, give to Office Manager. Ensure supplies are stored in appropriate places and in appropriate containers/packaging as soon as possible after receiving to ensure exit and entry ways are cleared and supplies are immediately accessible to nursing staff.

Ensure nursing staff have a list to update for requested/needed supplies. Check with nursing staff before ordering.

Nursing supplies are ordered every week or as needed.
