We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will have a strong background in managing office operations, particularly within a dental setting. This role is crucial for ensuring the smooth functioning of our office, providing support to staff, and enhancing patient experiences. The Office Administrator will be responsible for overseeing administrative tasks, managing electronic medical records, and assisting with human resources functions.
Responsibilities
Manage front-desk operations including greeting patients, checking them in/out, and maintaining a positive and welcoming environment.
Schedule, confirm, and adjust appointments efficiently using
Tracker Dental Software
to optimize provider and chair time.
Verify insurance eligibility and coverage, collect demographic details, and update patient information in
Tracker
.
Submit and track insurance claims through
CDAnet/EDI
, attach clinical notes and documentation, and follow up on outstanding claims.
Create treatment plans, provide cost estimates, and process payments, co-pays, and outstanding balances; generate patient statements through Tracker.
Maintain accurate digital charts and patient records while ensuring compliance with privacy regulations (PIPEDA / PHIPA).
Communicate with patients via phone, email, and SMS for appointment reminders, follow-ups, and recall scheduling.
Coordinate with dentists, assistants, and hygienists to maintain smooth patient flow and minimize wait times
Requirements
Experience with dental office software (Tracker).
Strong communication and customer service skills.
Ability to verify insurance and process billing/claims.
Appointment scheduling, reminders, and patient follow-ups.
Accurate data entry and handling of confidential patient information.
Multitasking in a fast-paced clinic environment.
Professional phone etiquette and front-desk management.
Knowledge of dental terminology (asset but not always required).
Previous experience in a dental or medical office is highly desirable.
Familiarity with Tracker software is mandatory.
Strong knowledge of electronic medical records systems.
Strong communication skills, both verbal and written, to interact effectively with patients and staff.
