The EP provides both administrative and practice management support to two professional Partners. This position requires a confident, dependable, and service-minded assistant with the ability to manage multiple tasks and adapt to changing priorities as needed. The EP will have the opportunity to meet and collaborate with people across the firm. They will provide seamless service while being assigned a variety of responsibilities as needed.
The successful candidate will be organized, discreet, meticulous and have a client-first approach to work. In addition, the successful applicant must be collaborative and accustomed to working as an effective team member. Reporting to the Partners under the direction of Partners, this is a varied role with hours of work from 9am to 5pm, Monday to Friday with some flexibility to work remotely and/or in various settings as needed, or on weekends or evenings on an as-needed basis.
RESPONSIBILITIES:
50% Corporate Support:
Provide administrative and organizational support for two Partners, including agendas, mail, emails, phone calls, client management, and other company logistics;
Coordinate complex scheduling and calendar management, as well as content and flow of information;
Manage travel logistics, activities, including accommodations, transportation and meals;
Enters billable time for Lawyers as requested, ensuring accuracy;
Maintains and uploads files to LEAP and organizes hard copies of files where required;
Acts as a point of contact, responding to client inquiries expeditiously and conducts follow up; keeping the lawyers apprised of interactions in their absence;
Updates and maintains client/matter lists and current client contact records electronically;
Coordinates conference calls and/or zoom for meetings as requested;
Any other related duties may be assigned from time to time.
50% Personal Support
Household Management: Coordinate personal appointments, home maintenance schedules, and family-related activities as needed.
Errand Management - Assist with personal shopping, errands, and other general tasks to maintain a seamless daily routine.
Acts as a point of contact for personal business and associates, responding to inquiries and communicating on behalf of the Partners
Travel Arrangements - Oversee all travel planning including accommodation, activities, and transportation.
QUALIFICATIONS:
Excellent verbal and written communication skills.
Excellent organizational and follow-up skills; ability to set priorities.
Able to meet deadlines, work well under pressure and take initiative using sound judgement.
An ability to produce a high quality of work, occasionally under tight timelines.
Ability to maintain professionalism and confidentiality.
Ability to anticipate needs and take initiative without constant supervision.
Legal Assistant diploma or certification in Business Administration or equivalent.
Familiarity with a law firm environment, ideally litigation legal assistant experience, however consideration of equivalencies given to the right candidate.
Proficiency in Microsoft Office applications, particularly Excel, Word formatting, and Outlook contacts and calendar functions.
Experience using LEAP is an asset.
