Job Description

We're seeking a proactive, professional, and detail-oriented individual to join our team in a hybrid role that blends recruitment leadership, agent-facing support, and high-level administrative coordination. The right candidate will bring energy, ownership, and the ability to toggle between proactive planning and real-time execution.

To fulfill your primary duty of supporting REALTORS, internal customers, and consumers, your primary responsibilities will include:

Recruitment & Talent Engagement (50%)



Serve as the initial contact for prospective agents--schedule calls, manage CRM follow-up, and coordinate next steps in their journey. Track candidate engagement and maintain CRM records. Guide new-to-industry agents through the licensing process and provide training resources. Build call lists, conduct warm outreach, and manage applicant funnels. Prepare recruitment reports and broker briefing notes. Coordinate and schedule recruitment campaigns and information sessions; coordinate logistics for agent-attraction events. Support onboarding of newly licensed agents through documentation and milestone check-ins.

Executive & Operational Support (25%)



Manage Broker's calendar, meeting logistics, and task follow-ups. Prioritize and structure key deliverables to keep the Broker on track. Draft and organize materials for meetings, strategy sessions, and special projects. Prepare internal reports, presentations, or correspondence as required. Help maintain structured process documents, SOPs, and team boards (e.g. Trello, Scribe, etc).

Office-Based Agent Experience (South Office) (25%)



Act as a friendly and helpful first point of contact for agents visiting the South office. Provide support for walk-in agent needs (printing, CRM navigation, lockbox administration, etc.). Support tech adoption and field agent questions related to tools like KV Core, Canva, and Google Workspace. Ensure office supplies, agent signage, and presentation materials are prepared and refreshed. Coordinate support needs between departments (Marketing, Listings, Admin). Assist with REALTOR Success Champion initiatives and communication.
To succeed in this hybrid Coordinator role, Coordinators require a blend of operational skill and emotional intelligence. Ideal candidates will demonstrate:

Exceptional interpersonal and customer service skills to ensure positive interactions in every instance. Multitasking and organizational skills to manage both long-term and short-term goals in a fast-paced, interruption-prone environment. Active listening and communication skills to support REALTORS and connect them with appropriate resources in a regulated industry. High attention to detail and prioritization when managing executive calendars, sensitive timelines, and task dependencies. Strong writing and formatting skills for emails, reports, agendas, and documents that reflect our brand voice. Emotional intelligence and discretion when building rapport with prospective agents, fostering a high-trust recruitment experience. Initiative to identify gaps, suggest improvements, and take proactive steps to support recruitment, retention, and executive priorities. Ability to take ownership of events from concept to execution, including vendor management, logistics, and on-site coordination. Strong teamwork skills, including working effectively with remote team members via email, chat, and virtual platforms. Analytical and problem-solving abilities to identify efficiencies and improve operations across talent and executive support. Technical fluency in Google Workspace, Canva, CRMs, VOIP systems, and internal communications tools. Familiarity with social media and marketing tools to promote events and agent attraction efforts. Understanding of event performance metrics and ability to report on engagement and improvements. Autonomy, passion, and perseverance--working independently to meet deadlines and deliver quality. Ethics and commitment without supervision, striving to set a new Benchmark every day.
Monday to Friday, 9:00 - 5:00 pm, with flexibility for recruitment events or special projects.

Job Type: Full-time

Pay: $48,000.00-$51,000.00 per year
