We are in search of an Executive Search Assistant to join our team serving Academic clients across Canada.

Role Description

An Executive Search Assistant at KBRS, you will play a key role in supporting client and candidate care in executive search assignments. The Executive Search Assistant works with partners, consultants, recruiters, researchers, coordinators, and support staff to support both search execution and other company activities. The Executive Search Assistant may also interact on occasion with candidates and clients, coordinate candidate and client communication and activities, prepare and share client and candidate communication and deliverables, enter and update candidate/client information into our systems and undertake administrative activities that ensure the successful and timely completion of each assignment. Interacting with other team members, the Executive Search Assistant is actively involved in supporting the Executive Search Coordinator on all open assignments.

Key responsibilities include:

  • Arrange and participate in timely project team meetings for each assignment;
  • Perform administrative duties to assist in the effective execution of projects;
  • Create, format and standardize documents needed for Partners\' business development and search delivery (includes Proposals, PowerPoint presentations, Confirmation Letters, Recruitment Advertisements, Position Briefs, Progress Reports, References, Candidate Presentations, Interview Schedules, Interview Guides, Assessment Guides, Offer Letters)
  • Ensure prompt follow through during an assignment; Act as a liaison between the project team, client and candidates, foster positive candidate/client relations to create trust and confidence; Develop a strong understanding of and ability to use the database to capture project-related activities, correspondence, etc.;
  • Complete detailed referencing on finalist candidates;
  • Offer creative ideas to further streamline administrative practices;
  • Attend and participate in Team Meetings; contribute to a positive team environment;
  • Assist in maintaining Partners\' calendars (schedule & update);
  • Fulfill Partner\'s business requirements/requests in a timely and successful manner, including business travel arrangements;
  • Assist recruiters and research coordinators with candidate research and social media scans and ensure that candidate files and database records are accurate and up to date;
  • Handle incoming/outgoing telephone calls in a professional/efficient manner;
  • Assist in the daily follow-up of correspondence, as required.
Your Qualifications

As an Executive Search Assistant you bring a positive can-do attitude and are willing to try and learn anything to help your team out. You thrive in a fast-paced environment, and you are an MS Office 365 wizard, which allows you to be efficient in all that you do. Organization is your passion, and because of that, you look forward to assisting in navigating logistics, scheduling meetings, and ensuring your teammates have what they need to succeed.

Your qualifications include:
  • A university degree in business administration, commerce, human resources, or a related area of study;
  • Strong attention to detail and a love for organization and helping your teammates stay organized;
  • Customer service experience;
  • Microsoft Office fluency, including: Word, Excel, PowerPoint and Outlook;
  • Experience problem solving in a professional environment;
  • Ability to remain calm and cool as you navigate competing priorities and schedules.
