Job Description


`Executive Personal Assistant We are looking for a responsible, versatile, proactive and highly-organized Executive Personal Assistant to perform personalized administrative duties for a Partner of our firm. In this role, you will be responsible for scheduling meetings, making travel arrangements, handling correspondence, file organization, drive Partner daily to their destination and other duties when required by the Partner. To ensure success as an Executive Personal assistant, you should exhibit excellent organizational skills and be intuitive to the needs of the Partner, have strong communication skills and work autonomously to provide customized administrative support. Duties and Responsibilities:

  • Schedule meetings and appointments
  • Manage the Partner\xe2\x80\x99s calendar to accurately assess availability
  • Manage travel arrangements, transport and accommodation
  • Handle errands as needed
  • Copying, scanning and faxing documents as well as taking notes
  • Remind the Partner of important tasks and deadlines
  • Collating and filing expenses
  • Capacity to remain calm and focused when juggling multiple requests and managing a busy calendar
  • Able to drive Partner daily to their destination (vehicle provided by the Partner)
  • It is essential that they drive the partner in a safe, comfortable and professional manner while simultaneously keeping track of navigation, traffic, timing and weather conditions to avoid delays.

Requirements and Qualifications

  • Outstanding organization and time management skills
  • Efficient, discrete, flexible, adaptable, proactive
  • Ability to multitask and prioritize daily workload
  • Proficiency and flexibility with different software systems
  • High attention to detail, self-starter personality
  • Able to work independently, take initiative
  • Excellent communication skills, able to communicate clearly and concisely
  • Working hours will vary, must be flexible to accommodate the Partners busy schedule
  • Always available and able to pickup Partner and drive to client meetings when needed
  • Have a valid driver\xe2\x80\x99s license and maintain a clean driving record
