The Executive Director will provide strategic and financial oversight to the organizational operations of Green Haven Shelter for Women (GHS). Job Summary:
The Executive Director (ED) is responsible for the smooth functioning of the shelter along with compassionate and respectful delivery of residential and outreach services. The ED is responsible for the successful leadership and management of the organization including the consistent achievement of its mission, strategic direction, and objectives. The ED works closely with, and reports to, the Board of Directors.
Core Responsibilities:
Board Relations:
? Maintain a constructive working relationship with the Board of Directors.
? Authorize and maintain agreements and contracts as approved by the Board.
? Provide the Board with an annual operational plan for strategic elements to be delivered that fiscal year.
? Prepare monthly reports regarding the status of the organization, including finance, staffing, and program accomplishments for the Board of Directors.
? Support the Board in the development of strategic plans.
? Guide and advise the board on legislative changes, ministry guideline changes and other Board education required to maintain success of the Board.
? Work with the Board to plan for the organization's future and oversee the development of staff workplans to accomplish those goals.
Human Resources/Team Management:
? Model trauma-informed supervision for staff.
? Support a values-based and inclusive team through technical, administrative, and operational direction to staff. Assigns and coordinates work, evaluates performance, identifies staff training needs and escalates employee relations matters.
? Motivate and lead staff, supporting everyone to perform, reach targets, and meet the needs of the clients/communities.
? Responsibility for the recruitment, employment, training, and if applicable, release of all staff, while mindful of collective agreement provisions and considerations.
? Ensure that job descriptions are developed and kept current, that regular performance evaluations occur with staff, that ongoing communication and team meetings occur, and that sound human resources practices are in place and are followed.
? Oversee the development and implementation of human resources policies, procedures and practices, as well as the collective agreement.
? Prepare for/participate in contract/union negotiations.
? Responsibility and oversight for the organization's Occupational Health and Safety Act (OHSA) responsibilities and enforcement of legislation. Support and participate in a culture of safety which encourages prevention, reduces errors, and safeguards staff and clients from harm.
? Maintain and lead a working environment which attracts, retains, and motivates a diverse and qualified staff. Address any workplace conflict, harassment and/or discrimination matters in a timely manner and in accordance with applicable legislation, policies, and procedures. Maintain a positive, healthy, inclusive and safe work environment which values equity, diversity and inclusion.
Finance and Fund Development:
? Manage and oversee all financial initiatives, budget development, cost controls, progress reporting, and annual reporting/audit processes. Ensure the financial integrity of GHS.
? Approve budgetary and operations objectives. Ensure proper accounting procedures are in place for accurate accounting and monthly/annual reporting.
? Manage physical assets, property and all contents by ensuring proper maintenance and protection. Develop and manage an ongoing capital infrastructure plan.
? Liaise with applicable Ministry partners and counterparts.
? Consult with Board of Directors as appropriate, provide financial reports/statements, advise of fundraising/grant activities, and approve expenditures within the authority delegated by the Board.
? Develop funding resources and prepare grant proposals to attain program goals.
? In consultation with the Board of Directors, identify annual and long-term fundraising goals and direct all fundraising activities to achieve those goals on behalf of GHS.
? Oversee the development and implementation of an annual fundraising and communications plan, ensuring the website and social media platforms are current and relevant.
? Ensure fundraising development through networking and relationship management. Research funding sources and write funding proposals to increase the funds of GHS.
? Maintain compliance with industry regulations.
Community Development:
? Build relationships with GHS staff, Board of Directors, community members and organizations, colleague/counterpart organizations, and Ministry representatives, in order to infuse the footprint of GHS into the community. In addition to the Chair of the Board, act as a spokesperson for the organization.
? Participate in activities of appropriate local, provincial and national organizations to keep abreast of new developments and techniques in managing a fundraising / not-for-profit organization.
? Enhance existing skills through membership in key professional associations and participation in relevant conferences/professional development opportunities.
? Contribute back to philanthropic sector by volunteering, mentoring and teaching.
Programs & Services:
Strategy and Service Delivery:
? Develop long-term organizational and policy goals.
? Develop and implement Business Plan in conjunction with the GHS strategic focus and funding priorities.
? Provide overall direction, control and effective administration of all annual Business Plan programs and objectives.
? Demonstrate accountability by developing programs that will be highly efficient.
? Participate in Board of Directors meetings, develop agendas and capture minutes for same. Work with the Board of Directors to update the Strategic Plan when necessary.
? Coordinate planning, operations, administrative and financial control activities.
? Lead and/or oversee business development initiatives that are consistent with the overall strategy for GHS.
? Maximize revenue generation and strategic partnership development and management as required.
? Manage contract negotiations and work with legal counsel as required.
? Ensure implementation of business initiatives, including integrating contract requirements with business operations.
? Identify and address strategic issues and business opportunities.
? Address potential impact of business operations and provide recommendations in response to changes in the charitable sector.
Programs & Services
? Ensure process and practice of all programs and services.
? Adhere to and follow all policies and procedures and the collective agreement.
? Monitor and track organizational program data.
? Ensure regular team and organizational meetings occur.
? Develop and maintain working relationships with organizations and systems that deal with victims of sexual assault and domestic violence.
Communication Commitment:
? Ensure that the GHS Board of Directors is kept fully informed on the operation and condition of GHS and all-important factors influencing same. Leverage the experience and expertise of the Board, a working board, and its volunteers from various backgrounds and sectors. Proactively identify, assess and inform the Board of Directors of internal and external issues that affect the organization.
? Publicize the activities of the Shelter, its programs, goals and service-offerings.
? Establish and maintain a sense of trust, ownership and partnership with donors, community groups, organizations/corporations, and other key stakeholders.
? Represent the programs and point of view/strategic direction of GHS to agencies, organizations, Ministry partners, and the communities we serve.
Qualifications:
? Post-secondary degree or diploma in a related field of study or related experience is required. We welcome candidates with a diversity of lived and professional experiences in leadership, social services, healthcare, advocacy, finance, or nonprofit management. Experience working with survivors of violence or in trauma-informed environments is a strong asset. Green Haven is committed to building a diverse leadership team. Working Conditions
Executive Directors usually work in an office environment, but the organization's mission may sometimes take them to non-standard workplaces. Executive Directors work a standard work week but will often work evening, weekends, and overtime hours to accommodate board meetings and represent the organization at public events.
The shelter operates 24 hours, 365 days per year. It is a secure facility with alarms that must be activated at all times. Individuals seeking services are often in crisis and possibly fleeing dangerous and life-threatening situations and may have abusers who will attempt to locate or pursue them. There may be an increased risk to the health and safety of staff and other residents. All precautions and safety resources are in place to protect staff and residents. Residents may exhibit violence or heightened behaviour towards staff. All incidents must be reported and documented. A Joint Health and Safety Committee exists at GHS, and preventative measures are in place. Training, personal protective equipment, and supports/resources will be provided as applicable.
