Skills - Must Have:

About the Position:The Executive Assistant role is fully in-person, providing comprehensive support to the Partner. The successful candidate will be highly organized and proactive, responsible for completing confidential administrative tasks and ensuring the smooth day-to-day operations of the Partner\'s practice. Additionally, the Executive Assistant will play a crucial role in client management, acting as the main liaison for the team\'s client base. Success in this role as a relationship manager depends on building, maintaining, strengthening, and preserving trusting relationships with clients.

Summary of Responsibilities:
  • Anticipate the needs of the partner and provide administrative support, including managing the partner\'s inbox, calendar, and meetings.
  • Gather, coordinate, and prepare information for meetings and events, including logistics and coordinating attendees.
  • Maintain accurate records of meetings and client information, and correspond with clients and the CRA.
  • Track and update financial statements, tax returns, and other filings, ensuring timely completion.
  • Draft, edit, and format various business documents.
  • Assist with financial tasks, such as processing expense reports and billings.
  • Handle incoming and outgoing correspondence and perform general administrative tasks.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Collaborate with other administrative staff and support firm-wide initiatives.
  • Flexibility to work outside standard hours during important tax deadline seasons.
Summary of Experience:
  • 2+ years of executive assistant or administrative support experience.
Requirements:
  • Completion of a College Degree, with a focus in Finance and/or Project Management being an asset.
  • Previous experience as an Executive Assistant; experience in a professional services firm is an asset.
  • Demonstrated ability to work well independently and under pressure in a fast-paced, deadline-driven environment.
  • Organized with the ability to prioritize multiple responsibilities with a high level of accountability, accuracy, and efficiency.
