Shine Windows and Gutters Inc. is Toronto's leading exterior home service company. We are a growing team known for quality, reliability, and professionalism in window cleaning, gutter maintenance, and exterior power washing. We are seeking a trusted, full-time executive assistant to support both business administration and household operations for the founders.
This is a unique, long-term position that blends
remote business administration/personal assistance
with
in-person household and pet care
responsibilities. You will work closely with the founders to manage communication, scheduling, and financial tasks, while also caring for their small dog,
with an excellent temperament
who requires medical care and companionship.
Candidate Profile
You have strong interpersonal skills and can manage a wide variety of personalities whatever the situation. You have the ability to juggle competing priorities. You have a 'do what it takes attitude' and are ready to provide hands-on support as needed. You are a truly dedicated candidate with no competing obligations looking to devote yourself to your next long-term role.
Schedule
Remote (Business Admin)
- Monday to Wednesday, 8:00am - 3:00pm
Manage emails/calendar and Slack messages for both owners
Bookkeeping, payroll processing, and online banking
Appointment coordination and calendar management
Assist with planning meetings and business travel
Maintain documentation via Google Drive and shared digital tools
Liaising with staff, vendors and contractors on properties/ in business
Manage sensitive matters with a high level of confidentiality and discretion
Source and book events or activities as requested/ manage special events
Book private travel and accommodations. Create itineraries, be ready and available to support last minute changes
Be the main point of contact and accountability for when "something happens"
Research and compile information and solutions as needed for owners
In-Person (Household + Pet Care)
- Thursday to Saturday, 3:00pm - 8:00pm
Walk and feed dog at 7:15pm
Administer insulin injections and eye drops (training provided)
Wash paws as needed, play and spend time with her
Light household tasks: laundry, tidying, managing returns, managing inventory, gift buying, tracking expenses, dry cleaning
Pet Sitting
- 6-8 weeks/year (pre-planned)
Overnight care for Cricket during business trips or family travel
House-sitting: watering plants, overseeing home
Sunday: Off
Applicant Qualities
3+ years experience as an executive assistant, personal assistant, high profile support, luxury hospitality or household manager
Pet care experience is required; veterinary experience is preferred but not required
Comfortable administering medication or willing to be trained
Tech-savvy: proficient with Slack, Google Workspace (Docs, Sheets, Drive), and strong typing/communication skills
Trustworthy and capable of handling financial and sensitive personal information
Self-motivated, organized, and reliable
Drivers Licence required
Access to a reliable vehicle is an asset
Compensation & Benefits
$65,000/year salary
3 weeks paid vacation
