Reporting to the Executive Director, the ideal candidate for the position of Executive Assistant/Economic Advisor is a highly organized, ethical, and adaptable professional who thrives in dynamic environments and brings a deep understanding of Indigenous communities. They possess economic development knowledge, strong interpersonal and communication skills, technical proficiency, and the ability to work independently while supporting executive leadership and organizational goals.
Key Responsibilities
Executive & Strategic Support
Provide direct administrative and strategic assistance to the Executive Director in managing daily operations.
Manage calendars, schedules, priorities, and email correspondence to ensure effective time management.
Uphold confidentiality and professionalism in all interactions.
Governance & Leadership Coordination
Assist in establishing governance structures, policies, and procedures.
Coordinate meetings for the Board of Directors and leadership team, including agenda preparation, minute-taking, and follow-up action planning.
Research & Reporting
Conduct research and draft briefing notes, reports, and correspondence related to economic development opportunities.
Support the development of funding proposals, budgets, and work plans.
Prepare and present economic development statistical and budget reports.
Stakeholder Engagement
Liaise with government, industry, consultants, and community representatives on behalf of the Executive Director.
Build and maintain strong relationships with diverse stakeholders.
Administrative Operations
Prepare and edit communications, presentations, and other documents.
File and retrieve documents using both web-based Records Management Systems and physical filing systems.
Attend team meetings, track action items, and provide administrative support to Department Leads as needed.
Monitor project deliverables and deadlines to ensure alignment with organizational goals.
The ideal candidate will possess the following qualifications, attributes and skills
:
Post-secondary degree or diploma in Business Administration, Economics, Indigenous Studies, or a related field.
Minimum of 3-5 years of experience as an Executive Assistant, Project Coordinator, or similar role, preferably in economic development or Indigenous organizations.
Strong knowledge of economic development principles, including corporate structures, partnerships, and funding mechanisms.
Excellent communication, writing, and research skills.
Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Strong interpersonal skills with the ability to build relationships
Proficiency with Microsoft Office Suite and experience in document management systems.
Knowledge of Wolastoqey culture, history, and rights is a strong asset.
Remuneration is commensurate with qualifications and experience. Wolastoqey Nation in New Brunswick offers competitive salary and benefits to our employees the salary range for this position is $60,000.00 - $85,000.00. Working location is 35 Dedham Street, Sitansisk (St. Mary's First Nation, NB).
