Your day-to-day



You'll provide ongoing support to Management and coordinate the administrative and logistical activities that keep our operations running smoothly--both in the office and virtually.On a daily basis, your colleagues will turn to you to help resolve unexpected issues, manage logistics, and ensure everything runs efficiently. From welcoming our partners to handling administrative tasks, organizing events, and supporting the Management team, you'll be involved in every aspect that keeps our organization functioning seamlessly.

Main responsibilities




Reception, Coordination and Communications




Provide a professional welcome to clients in both languages and supply the required information by phone and email. Handle incoming and outgoing mail and packages. Stay informed about staff travel, absences, and organizational events. Follow up on translation requests with our partners. Contribute to updating and maintaining our contact database.

Administrative and Logistical Management




Handle purchases and oversee maintenance of the IT equipment, including first-line service requests, while keeping the inventory up to date. Manage subscriptions, corporate accounts, and service provider agreements. Ensure that office spaces and IT stations are in good working order, and purchase office and maintenance supplies as needed.

Event Support




Collaborate in organizing corporate events (general assemblies, staff meetings, trainings, conference calls, etc.) with internal teams and First Nations organizations. Make sure that field equipment and event materials are available, in good condition, and functional by maintaining inventories, placing orders, and/or submitting repair requests.

Do you have what it takes?




Relevant experience in administration, office automation or secretarial work and/or Vocational training (DEP) or college (AEC or DEC) Good oral and written communication skills in French and English Proficiency in the M365 environment and collaborative work tools (Teams, Zoom, etc.) Relevant work experience with First Nations or an Indigenous organization (major asset) Knowledge of First Nations cultures and the structures of Indigenous communities in Quebec and Labrador (an asset) Knowledge of an Indigenous language (major asset)
