Position

Responsibilities:

o Within established guidelines, relieves executive and/or officer of details and advanced administrative duties.


o Manages projects as assigned and ensures the accurate and timely completion of tasks.


o Communicates information to and from the executive/officer to and from a wide range of internal and external contacts.


o Delegates for staff implementation of commitments made by the executive and/or officer and updates the executive and/or officer on progress.


o Gathers, assembles and analyzes highly confidential and sensitive information and data from a wide variety of sources and prepares reports and memoranda.


o May prioritize telephone calls and meeting requests, personally responding whenever possible using judgment on potentially urgent matters.


o Prioritizes and summarizes contents of incoming materials, e.g. mail, reports, government notifications, articles, competitor packages requiring knowledge of operations, an understanding of pertinent individuals involved, protocols, actions required, timelines, signature authority required, compliance and regulatory mandates.


o Composes correspondence and documents of a highly confidential nature.


o Maintains file records for executive and/or officer.


o Regularly interacts with board and committee members, other internal and external executives to obtain and furnish information.


o Uses various applications to produce reports, spreadsheets, presentations and other documents.


o Generally, plans, organizes and schedules own work.


o Arranges and coordinates travel and meeting schedules, including travel agendas and meeting schedules. Handles details involving foreign travel including entry papers, currency, passports and visas.


o Completes expense reports and maintains detailed records of expenses.


o Performs other duties as assigned,


o Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy.

Required Qualifications:

o Bachelor's Degree or equivalent experience preferred,


o Has progressed to this level after 10 or more years in a related S ecretarial or A dministrative A ssistant role


o Proficiency in all MS Office applications


o Comprehensive skill and knowledge of organization policies and practices.


o Activity Coordination


o Business Partnering


o Prioritization


o Service Delivery Effectiveness


o Troubleshooting/Technical Support

Preferred Qualifications

:

o Prioritizing meetings, calls and situations for executive review


o Improving administrative business practices to increase effectiveness


o Works with others to ensure efficiency of the administrative and support functions.


o May oversee or collaborate on special projects or initiatives.


o Mentors administrative support staff.

Working Arrangement

Hybrid

Salary range is expected to be between

$68,775.00 CAD - $114,625.00 CAD
