Establish and coordinate administrative policies and procedures for boards of directors, multiple committees, and managers.
Draft, prepare, and proofread incoming and outgoing submissions and reports to ensure high-quality deliverables.
Prepare agendas and make arrangements for executive, board, and other meetings.
Transcribe audio files and support document creation as needed.
Conduct research, compile data, and prepare papers for consideration and presentation by executives and directors.
Handle front-desk reception duties, including screening and directing calls on a multi-line phone system.
Provide personal assistant support, including personal scheduling and errands.
Support budgeting, expense tracking, and financial documentation for executive offices.
Handle end-to-end accounts receivable and accounts payable processes, including invoicing, payment processing, and monitoring and maintaining financial records.
Meet and coordinate with departments on behalf of executives and directors to discuss issues and assess and recommend courses of action.
Oversee special projects, events, and corporate initiatives, liaising with internal and external stakeholders to support long-term project planning on behalf of executives and directors.
Support executive recruitment efforts, including job postings, candidate screening, interviewing, and onboarding new team members.
Perform daily duties such as note-taking, audio recording and transcription, proofreading, organizing file documents, and maintaining records.
Requirements:
Education
- Completion of secondary school is required. Undergraduate degree considered an asset.
Experience:

Number of years experience required: 0-2 years
- Proficiency with Microsoft Office Suite, Microsoft Outlook Calendar, Google Workspace, QuickBooks, and data entry software.
- Strong proofreading skills and excellent typing accuracy.
- Experience in event planning, project coordination, and clerical duties (filing, transcription, front desk operations).
- Exceptional phone etiquette and professional communication skills.
- Ability to multitask, prioritize, and operate efficiently in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Professional written and verbal communication abilities suitable for customer, vendor, and executive-level interactions.
- Not required but considered an asset: experience with SmartSheet and Odoo.
- Proficiency in written and spoken English is required.
Language Requirements

Employment conditions :
- Permanent Position.
- Full time, 40 hours per week, Monday-Friday. Overtime as required.
- Offered salary range: $38-40 per hour.
