Position Summary
Porte Communities is seeking a dedicated and highly skilled Executive Assistant to support our President and key members of the Executive Management team. The ideal candidate is independent, resourceful, and proactive, thriving in a fast-paced environment.
Job Requirements
Experience: Minimum of 3 years supporting senior executives.
Confidentiality: Proven ability to handle sensitive information with discretion.
Organization: Able to manage multiple priorities and adapt to shifting demands.
Attention to Detail: High accuracy and thoroughness in all work.
Interpersonal Skills: Strong relationship-building abilities.

Investor Relations
Lead all investor communications and coordination.
Schedule investor meetings and manage documentation.
Maintain investor records.
Prepare investor presentations and briefing notes.
Presentations & Management Reporting
Develop presentations and reports.
Create and update management reporting
Support management reporting.
Maintain consistent document formatting and branding.
Executive Assistant Functions
Calendar Management: Schedule and coordinate executive calendars.
Travel Planning: Arrange domestic and international travel.
Confidential Documentation: Prepare and manage sensitive executive materials.
Administrative Support: Expense processing, credit card reconciliation, invoice support.
Project Coordination: Assist with executive-led projects.
IT Coordination: Liaise with IT contractor for executive needs.
Meeting Coordination & Facilitation
Organize leadership meetings and events.
Prepare agendas, minutes, and logistics.
Ensure meeting spaces and materials are ready.
Support client and stakeholder communications.
Reception & General Support
Provide backup reception support.
Assist with general office administration.
