Job Summary
RLG is a global provider of consultancy services for extended producer responsibility. In North America, the data services and environmental compliance team works with clients (producers) to deliver EPR assessments of their legal obligations province by province, data management, and reporting services, audit support, and technology product offerings such as our environmental compliance software. This role would be pivotal in ensuring RLG is well-positioned to bring environmental compliance and knowledge to our client base.
The Executive Assistant provides high-level administrative and logistical support to the EVP of Americas while ensuring smooth day-to-day operations of the Toronto office. This dual-role supports executive leadership, coordinates internal and external meetings, including board meetings and manages key administrative and office duties to maintain a clean, welcoming, and professional environment. The individual in this role will also serve as a point of contact for visitors, staff, and vendors. Regular in-office presence and additional in-office days will be required to support staff and external visitors.
Key Tasks of the Executive Assistant include, but may not be limited to:
Executive Administrative Support
Manage calendar, coordinate appointments, travel, expenses, and logistics for the EVP of Americas.
Prepare and format documents, presentations, and reports for leadership and board meetings
Act as liaison between EVP and internal/external stakeholders to ensure smooth communication and booking prioritization.
Track and follow up on action items, meeting notes, and special initiatives on behalf of the EVP
Assist Senior Leadership Team (SLT) members as needed with coordination or logistics support
Support the calendar, travel and administrative requirements for the Sr. Director, People
Additional in office time may be required based on needs of the EVP.
Board and Large Meeting Coordination
Coordinate scheduling, travel, logistics, and materials for board meetings and other large stakeholder events.
Prepare and distribute pre-read materials and briefing packages to attendees.
Manage internal/external meeting location and associated bookings, food and refreshments.
Ensure technology and meeting tools are in place and functioning properly for hybrid/in-person meetings.
Organize and coordinate large all staff related meetings and agendas, supporting speakers and leadership. Including but not limited to Executive board meetings, SLT, QBRs, Audits and on-site visitors internally and externally.
Serve as main point of contact for EB members' logistical needs.
Office Management & Facilities Oversight
Greet visitors and employees, ensure front desk coverage, and maintain a professional reception area.
Monitor and maintain office cleanliness, mail distribution, and supply levels, including kitchen inventory.
Maintain compliance for Toronto office for OHSA and Fire Safety needs.
Answer incoming phone calls, manage general inquiries from staff and visitors, and liaise with building maintenance or vendors as needed.
Maintain key office records and liaise with IT or building services to resolve issues promptly.
Coordinate meeting spaces and catering needs, ensuring all equipment and materials are in place.
Track attendance, collect feedback, and help improve future engagement efforts.
Other Duties as Assigned
May support projects, reports, and internal communications as directed
Provide occasional support to other members of the SLT and office operations team as required
Requirements
Post-secondary education in Business Administration,, or a related field.
At least 3-5 years' experience supporting senior executives in a fast-paced environment.
Minimum 2 years experience in office management or facilities coordination.
Experience planning meetings, booking travel, preparing presentations, and managing logistics.
Experience interacting with senior leaders and board member.
Advanced written and verbal communication.
Calendar management, travel booking, and executive support.
Office coordination and vendor management.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Ability to multitask, prioritize, and handle confidential information.
Experience supporting or coordinating Board of Directors meetings and large company events.
