Our client is a commercial real estate investment manager overseeing approximately $10 billion in assets. They specialize in providing institutional and high-net-worth investors with direct access to commercial real estate, managing a diversified portfolio of office, retail, and industrial properties.Role Overview
The Executive Assistant will provide comprehensive administrative and organizational support to the Senior Leadership team and the broader group. This is a key role in ensuring the smooth operation of the leadership's schedules, meetings, and documentation, as well as managing travel and communications with professionalism.Responsibilities

  • Proactively manage and organize leadership calendars, scheduling meetings, and resolving time zone conflicts.
  • Coordinate internal and external meetings, including booking spaces, catering, A/V setups, and managing attendee lists.
  • Oversee legal documentation processes related to acquisitions, loans, and leases, coordinating with legal teams as needed.
  • Organize end-to-end travel arrangements, including flights, hotels, ground transportation, and itineraries.
  • Maintain updated personal information for executives, such as passports, driver's licenses, and credit card details.
  • Develop executive presentations, reports, and other documentation as required.
  • Process benefits claims and expenses through Concur in a timely manner.
Qualifications
  • A minimum of 2 years of experience in a similar administrative or executive assistant role.
  • Degree or Diploma in a related field.
  • Proficiency in Microsoft Suite (Word, PowerPoint, Outlook, MS Teams), with Excel as an asset.
  • Knowledge of DocuSign, Salesforce, and Concur is a plus.
  • *Exceptional attention to detail and organizational skills.
  • *Excellent calendar management and time management skills.
  • *Ability to build strong relationships internally and externally, with a high level of professionalism.
  • *Discretion and confidentiality in handling sensitive information.
