The Corporate Governance & Secretariat function (CG&S) serves as principal advisor to boards of directors on corporate governance matters, and leads and implements a world-class corporate governance practice throughout the Group with the provision of end-to-end corporate governance advice. It is led globally by the Group Company Secretary & Chief Governance Officer who reports directly to the Group Chairman. About the role: Provides administrative and secretarial support for an assigned Executive Officer of the Company or group of employees allowing for exceptions on a case-by-case basis.
Responsibilities: This position will provide administrative support to the Corporate Secretary and Head of Governance. Responsibilities will include the following:
  • Assist with document drafting and preparation of materials in connection with board and executive governance meetings within HSBC Canada.
  • Assist with calendar management, meetings coordination, travel arrangements and expense processes.
  • Organize logistics for HSBC Bank Canada Board and Committee meetings and related events.
  • Provide additional administrative support for members of the HSBC Bank Canada Board of Directors as requested.
  • Work collaboratively with other members of the Corporate Governance & Secretariat function and with key internal stakeholders, including executive management.
  • Complete other tasks as assigned.
  • Maintain confidentiality of highly sensitive information.

Requirements
  • Minimum of five years proven administrative or secretarial experience, or equivalent.
  • Bachelors degree, or equivalent experience.
  • Excellent typing, customer service, problem-solving, customer service and organizational skills.
  • Proficiency with personal computers as well as pertinent mainframe systems and software packages.
  • Ability to anticipate Executive Officer needs as well as operate independently and handle majority of responsibilities without consultation.
  • Ability to deal with all levels of personnel in a courteous and efficient manner and exercise discretion on confidential matters.
  • Extensive knowledge of Company policies and procedures.
