About Zaag'idiwin Naaknigewin

Zaag'idiwin Naaknigewin is a newly established organization dedicated to promoting the wellbeing of Saugeen First Nation children and families and building capacity to operationalize Saugeen's child wellbeing law, Zaag'idiwin. Position Overview

The Executive Assistant to Human Resources provides high-level administrative, organizational, and confidential support to the Director of Human Resources and HR Department. This role is key to ensuring smooth coordination of HR operations, maintaining records and correspondence, supporting recruitment and onboarding, and managing day-to-day administrative functions with professionalism, cultural sensitivity, and discretion.

Key Responsibilities

Provide executive-level administrative support to the Director of Human Resources, including scheduling meetings, drafting correspondence, and managing confidential information.

Support the coordination of HR programs and processes such as recruitment, onboarding, training, benefits administration, and performance management.

Prepare and maintain employee records, personnel files, and HR tracking systems in compliance with confidentiality and privacy standards.

Assist in preparing reports, presentations, and communications for internal and external stakeholders.

Track HR metrics, training logs, and staff attendance, ensuring timely and accurate data entry.

Manage the HR inbox and correspondence, responding to routine inquiries and directing complex matters appropriately.

Coordinate logistics for HR meetings, workshops, and training sessions.

Support the creation and distribution of employee communications, announcements, and newsletters.

Maintain office supplies, equipment, and HR documentation systems (digital and hard copy).

Support the Director of HR with special projects, initiatives, and policy development as assigned.

Always maintain confidentiality of all HR and organizational information.

Other related duties as assigned to support the operational success of Zaag'idiwin Naaknigewin.

Qualifications

Diploma or Certificate in Office Administration, Human Resources, Business Administration, or a related field.

Minimum of two (2) years' administrative experience supporting senior management, preferably within HR or a First Nation organization.

Strong written and verbal communication skills with excellent attention to detail.

Demonstrated ability to maintain confidentiality and handle sensitive information with integrity.

Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, and Teams).

Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.

Understanding of Indigenous culture, values, and traditions is required.

Ability to work independently and collaboratively within a team environment.
