About Zaag'idiwin Naaknigewin
Zaag'idiwin Naaknigewin is a newly established organization dedicated to promoting the wellbeing of Saugeen First Nation children and families and building capacity to operationalize Saugeen's child wellbeing law, Zaag'idiwin. Position Overview
The Executive Assistant to the Cultural Director provides administrative, coordination, and logistical support to the Cultural Department, ensuring the smooth operation of cultural programming and initiatives. This role assists the Cultural Director in the planning, coordination, and documentation of cultural events, workshops, teachings, and community engagement activities. The Executive Assistant will act as a liaison between internal departments, Elders, Knowledge Keepers, and community members while maintaining cultural sensitivity and confidentiality at all times.
Key Responsibilities
Provide executive-level administrative and scheduling support to the Cultural Director.
Assist with the planning and coordination of cultural events, ceremonies, teachings, and workshops.
Prepare meeting agendas, take minutes, and maintain organized documentation of cultural initiatives.
Support communication and correspondence between the Cultural Director, Elders, Knowledge Keepers, and community partners.
Maintain and track cultural programming budgets, supply orders, and event materials.
Assist in the preparation of reports, grant documentation, and communications related to cultural programming.
Coordinate travel, accommodations, and logistics for Elders, facilitators, and staff.
Manage and maintain cultural calendars, bookings, and program schedules.
Support the creation and distribution of promotional materials and community notices for cultural activities.
Ensure all documentation is handled respectfully, following traditional protocols and confidentiality standards.
Work collaboratively with the HR and Communications teams to support staff cultural education and events.
Other related duties as assigned to support the operational success of Zaag'idiwin Naaknigewin.
Qualifications
Diploma or Certificate in Office Administration, Indigenous Studies, Event Planning, or related field.
Minimum of two (2) years' experience in an administrative or coordination role, preferably within a First Nation or cultural organization.
Strong organizational, written, and verbal communication skills.
Knowledge and understanding of Indigenous culture, languages, values, and traditional practices.
Ability to maintain confidentiality and demonstrate cultural respect and sensitivity in all interactions.
Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, and Teams).
Strong interpersonal skills and ability to work with Elders, Knowledge Keepers, and community members respectfully.
Ability to manage multiple priorities, adapt to changing timelines, and work both independently and collaboratively.
A valid driver's license and access to a reliable vehicle is considered an asset.
