Position Overview
We are seeking a highly organized and proactive Executive Assistant to support the Chief Financial Officer (CFO) and the Finance & Administration department.
This role provides high-level administrative support, manages priorities and communications, and ensures smooth execution of projects and departmental initiatives. The Executive Assistant acts as a trusted partner, handling sensitive information with discretion while enabling the CFO to focus on strategic responsibilities.
This is an in-office position based out of our head office located in Perth, Ontario.
Key Responsibilities
  • Manage the CFO's calendar, schedule, travel, and meeting logistics; prepare agendas, materials, minutes, and follow-up action items.
  • Act as primary liaison for internal and external stakeholders, managing communications, drafting correspondence, and representing the CFO professionally.
  • Track tasks, deadlines, and projects to ensure timely completion and alignment with departmental priorities.
  • Assist in the research, compilation, and organization of information for use by the department and/or management such as reports, spreadsheets, presentations, and other documents, often involving financial or administrative data.
  • Conduct research and provide summaries, data analysis, or recommendations as requested by the CFO.
  • Assist with procurement, expense reports, and budget tracking within the Finance & Administration team.
  • Maintain the Finance department's section of the Hub (corporate SharePoint site), ensuring accurate organization and updates of key documents (e.g., certificates of insurance, finance policies and procedures, etc.)
  • Support other departments with corporate or financial information, such as WSIB clearance certificates as requested.
  • Maintain organized systems for files, policies, and key documents, ensuring confidentiality at all times.
  • Support special projects, departmental initiatives, and company-wide events as assigned.
  • Leverage AI tools to capture meeting notes, summarize discussions, and track action items for the CFO.
Qualifications
  • Proven experience supporting a senior executive, ideally in a finance or corporate services environment.
  • Strong understanding of financial principles and practices, as well as proficiency in financial software systems.
  • Exceptional organizational, communication, and follow-up skills.
  • Strong attention to detail and ability to prioritize in a fast-paced environment.
  • Discretion handling sensitive financial, corporate, and personal information.
  • Proficiency in MS Office and comfort with learning new systems quickly.
  • Strong business acumen and ability to exercise judgement, tact, and professionalism.

Job Type: Full-time
Salary: $70,000 - $90,000 per annum

Work location: In-office. This is not a hybrid position.
