We're seeking a highly organized and resourceful Executive Assistant to support our lead Financial Advisor in managing day-to-day operations and client relationships.
Job Summary
As the Executive Assistant, you will play a critical role in ensuring the smooth functioning of the advisor's practice. You'll handle administrative tasks, coordinate client communications, and help maintain a high standard of professionalism and confidentiality.
Key Responsibilities
Manage the advisor's calendar, schedule meetings, and coordinate appointments
Prepare and organize client documentation, reports, and presentations
Handle incoming calls, emails, and correspondence with discretion and professionalism
Maintain client records and ensure compliance with regulatory requirements
Assist with onboarding new clients and preparing financial review materials
Liaise with internal departments and external partners as needed
Support marketing efforts, including newsletters, social media, and client events
Perform general office duties such as filing, ordering supplies, and managing mail
Qualifications
Proven experience as an Executive Assistant, preferably in financial services
Strong organizational and time-management skills
Excellent written and verbal communication abilities
High level of discretion and confidentiality
Proficiency in Microsoft Office Suite and CRM systems (e.g., Salesforce, Wealthbox)
Knowledge of financial terminology and compliance standards is an asset
Post-secondary education in business, finance, or related field preferred
