The Role


Reporting to the Chief Experience Officer, the Executive Assistant plays a vital role in ensuring seamless coordination and professional support across executive operations. This role is both people-oriented and detail-driven, balancing executive support with corporate office responsibilities.
The Executive Assistant is often the first point of contact for visitors, helping to create a welcoming and professional experience while ensuring the smooth operation of meetings, events, and day-to-day office needs.

You are a proactive, highly organized professional who creates a seamless and welcoming environment. With strong interpersonal skills, you handle confidential executive matters with discretion while ensuring the details that keep an office running smoothly. You thrive in fast-paced settings, balancing priorities with professionalism and a customer-focused mindset. From coordinating executive meetings, travel, expenses, and special projects to assisting with grants, funding applications, and donations, you provide essential support to leadership. You also ensure the office runs efficiently by greeting visitors, managing mail and courier services, maintaining supplies, and keeping shared spaces organized and professional.

Qualifications

Diploma or certificate in Office Administration, Business, or related field (equivalent experience will be considered). 2+ years of administrative or executive support experience preferred. Strong organizational and time-management skills with keen attention to detail. Advanced Skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience leveraging AI tools to streamline administrative tasks and improve work processes. Excellent written and verbal communication skills; strong English language skills required. Professional, approachable demeanor with a commitment to providing exceptional service.
