The Executive Assistant will provide C-level, confidential, and proactive administrative support to the Executive Director and selective support to the Board of Directors. The successful candidate will use their proven organization skills, exceptional attention to detail, and excellent communication skills to manage a wide variety of administrative tasks including but not limited to prioritizing and/or responding to correspondence, maintaining calendars, scheduling meetings, managing expense reporting and office operations, etc. Key Responsibilities: Provide direct administrative and office management support to the Executive Director. - Maintain work schedule and calendars of the Executive Director. - Coordinate logistics of Executive Director engagements including meetings, seminars, workshops, special projects, and events. - Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary. - Manage the scheduling, Agenda setting and Follow ups of Board of Directors and Executive Committee meetings. - Prepare draft reports, background documentation, and research. - Receive and screen all inbound telephone calls, e-mails, and visitors for the Executive Director. - Coordinate office activities on behalf of the Executive Director - Troubleshoot and/or escalate office administration issues. - Facilitate communication from Program managers and teams across various CCSYR project locations. - Manage the front office/reception area and ensure a welcoming and efficient office environment. - Prepare and review presentations, as when required. - Other duties assigned, as required. What you need to succeed: Education/Credentials: - Degree or Diploma in Business Administration, Office Administration, or relevant discipline Experience: - 3-5 years of Experience in an Executive Assistant/Administrative role. Skills: - Aptitude for working effectively and sensitively with people from diverse cultural backgrounds. - Comfort with Technology and communication platforms. - Ability to work under pressure in a fast-paced environment and deal with change and continuously shifting requirements. - Excellent interpersonal, organisational and time management skills. - Strong knowledge of office procedures and practices. Nice to Have: - Familiarity with the operations and funding of a Community Services Agency. - Ability to occasionally work flexible hours. - Fluency in a second language. - A Valid driver\xe2\x80\x99s license, access to a reliable vehicle and relevant insurance. Other Requirements: - All candidates are required to be fully vaccinated for Covid-19. - Successful candidates will be asked to provide successful Vulnerable Sector Criminal Records check.
