We are seeking a highly organized and proactive Executive Assistant to support our provincial team. The ideal candidate will possess strong administrative skills and have a proven track record in providing exceptional customer service. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining professionalism in all interactions.
Responsibilities
Provide clerical support including data entry, filing, and proofreading documents to ensure accuracy and completeness.
Preparing and issuing electronic and physical mail, ensuring that all in-coming and outgoing mail and work activities are being handled properly, manage the Provincial Office filing system in a confidential manner.
Assist with planning for Board, committee and staff meetings and ensuring follow-up, including provision of meals, lodging, travel, a/v needs, preparation and distribution of meeting notices and the compilation of data and documents as required.
Attend designated meetings of the Society, prepare and circulate minutes in conjunction with Provincial staff, committees, board and the ED. Initiate appropriate action based on request of the board, committees and staff in consultation with the ED and maintain effective working relationships with these groups. Coordinate the flow of information and official communication in relation to these groups.
Assist in preparation and distribution of SSS newsletters. Maintain a current contact email list. Monitor and order office supplies as required. Manage all printer services at the Provincial office. Make confidential bank deposits and assist the ED with distributing payroll. Manage incoming and outgoing paperwork related to the SSS contracted bookkeeping services.
Greet and assist visitors coming into the office in person and refer them to the appropriate personnel or agencies in a respectful, patient and welcoming manner. Provide the same service as the primary person answering the Provincial office phones and respond to and redirect emails in the same manner.
Ensuring content is current and appropriate on the SSS website and Social Media postings and complete other duties as assigned by the Executive Director
Requirements
Proven experience as an Executive Assistant or in a similar administrative role with strong organizational skills is a benefit but not required.
Must have a criminal record check and vulnerable sector search completed.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent customer service skills with a focus on building positive relationships both internally and externally.
Strong typing skills with attention to detail for accurate data entry and document preparation.
Experience in office management or clerical duties is essential, along with the ability to prioritize tasks effectively.
Ability to maintain confidentiality and handle sensitive information with discretion.
