EXECUTIVE ASSISTANT

Fantastic opportunity for an experienced Real Estate Executive Assistant to join a busy fast growing real estate team located in Calgary! If you are an outgoing, highly organized, professional Executive Assistant with experience working in the real estate industry this may be the position for you!

The Opportunity

The main function of this position is to ensure an exceptional customer service experience is provided to all clients. You will work closely with a Senior agent on all required daily tasks to ensure a successful experience for all parties. Experience working in an administrative capacity within a real estate office highly preferred. The successful candidate with have outstanding time management, project, and delegation experience.

Key Account Responsibilities and Functions

  • Responding to client emails and calls promptly.
  • Work closely with other agents on transactions after a property is conditional or sold to help move the sale to a firm transaction.
  • Daily/weekly planning and delegation of tasks to 2-3 administrative staff.
  • Calendar management.
  • Acting as the go between with agents and clients to ensure clients receive feedback on their listed homes.
  • Prepping listings to be posted online (CREB).
  • Drafting offers, listing contracts and other contracts.
  • Daily processing of files and documents, drafting and editing correspondence.
  • Ordering and tracking Real Property Reports for listed homes.
  • Booking showings on behalf of clients.
  • Attend photo appointments for listing as required.
  • Ordering client gifts and maintaining inventory.
  • Other tasks as required and assigned.
Required Skills and Qualifications
  • Minimum 5+ years of experience in an Executive Assistant role
  • Experience working in real estate brokerage/firm.
  • Experience in scheduling and creating projects, delegating work to other administrative support staff and being accountable to ensure tasks are completed and deadlines are met.
  • Alberta real estate License an asset but not a necessity.
  • Intermediate to advanced Google Suite skills, experience with DocuSign, Trello, Canva and Pillar 9 an asset.
  • Excellent written and verbal communication skills along with an outgoing, professional personality is key.
  • Strong critical thinking skills with an excellent attention to detail and accuracy.
  • Excellent organizational and time management skills.
Compensation and Benefits
  • Annual salary is $55,000 \xe2\x80\x93 $65,000 based on experience. Excellent benefit and free parking is included! Please note reliable personal transportation is a requirement.
