Position Title Executive Assistant, People & Culture (Term)
Required Qualifications

  • Minimum of a recognized diploma in office administration or a related discipline.
  • Five years of practical experience in roles of progressively increasing responsibility; related experience supporting C-suite level executives is strongly preferred.
  • Strong interpersonal skills that maintain the expected positive image of the organization while dealing with diverse internal and external individuals/groups.
  • Ability to function in a fast-paced work environment that will include working under pressure and meet established deadlines.
  • Proficient with maintaining a high degree of confidentiality and possess tact, discretion and diplomacy in dealing with people in all matters related to the position.
  • Demonstrated superior organizational and communication skills.
  • Must be thorough, detailed and results oriented, exhibit professionalism and sound judgment, as well as the ability to multi-task.
  • Must have strong analytical, problem solving, and critical thinking skills.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, and Power Point) is essential.
  • Superior writing skills and strong attention to detail.
  • Experience with planning and managing events.
  • Knowledge of accounting principles and understanding of audit processes and associated policies is necessary.
  • Knowledge of applicable provincial and national laws and regulations.
  • Advanced knowledge of virtual environments such as Microsoft Teams and Zoom and other social media platforms as well as knowledge of other presentation media apps would be helpful.

What does a \xe2\x80\x9cDay in the life of an Executive Assistant in People & Culture \xe2\x80\x9d look like? (hint: anything but boring).

Keyano College is seeking an Executive Assistant to support the day-to-day functions and activities of the Associate Vice President (AVP), People & Culture. Under the direction to the AVP, this position will assist the AVP and direct reports in overseeing the activities of all departments reporting to the AVP and Board obligations of the AVP. The EA will act as a liaison to internal and external groups including, staff, industry, community, and partners and to various government ministries. This role requires an individual who can handle highly sensitive and confidential information and who can assist the AVP in meeting deadlines while ensuring the high-quality standards are adhered to in procedures and documentation. As a result of working with multiple stakeholders, this role will require an individual with strong teamwork and collaboration skills.

What your expertise will be needed for:
  • Maintaining the AVP\'s schedule and is the initial contact point to the AVP for external and internal individuals and agencies.
  • Provide administrative and project management support, policy initiatives, event coordination and research to various ad hoc projects.
  • Act the FOIP Coordinator for the College as well as liaison between the Associate Vice-President and the college community.
  • Preparing documents, agendas, minutes, correspondence, and monitor the budget.
  • Researching and retrieving documents and data when required for presentation preparation, report submissions and various other projects.
  • Maintaining records of memberships for sub-committee and working groups.
  • Monitors organizational and staff deadlines, ensuring the AVP is kept informed in a timely manner to allow for appropriate oversight of obligations.
  • This position may provide coverage for other Executive Assistants as deemed necessary.
