Salary: $70,000.00 to $80,000.00 plus group benefits, 3 weeks vacation, additional perksActively seeking a motivated and dynamic Office Administrator / Executive Assistant to provide comprehensive support to senior management in a fast-paced and demanding environment. This critical role ensures the seamless operation of administrative functions while enabling senior leaders to focus on strategic priorities. The successful candidate will excel in multitasking, maintaining confidentiality, and communicating effectively across all levels of the organization. This position reports directly to the General Manager and Director of Human Resources.Key Responsibilities:- Act as a primary point of contact between directors, employees, clients, and external partners.
- Provide proactive administrative support to senior executives and the management team.
- Efficiently manage the flow of information, ensuring accuracy and timeliness.
- Coordinate executives' schedules, organize meetings, arrange travel and take minutes of meetings.
- Oversee office administration, ensuring adherence to company policies and compliance standards.
- Prepare and draft internal and external communications, including memos, emails, presentations, and reports.
- Screen and manage incoming communications, including calls and emails.
- Plan and coordinate special projects, seminars, and company events.
- Supervise administrative staff regarding member files, databases, and office operations.
- Assist senior management in report preparation, policy documentation, and presentation development.Qualifications:- Post-secondary education in administration, business, or a related field.
- Minimum of five years of experience providing executive-level administrative support.
- Bilingual proficiency in French and English (both oral and written); strong skills in document editing, professional correspondence, and report preparation.
- Demonstrated discretion, confidentiality, and a high level of professionalism.
- Proven leadership abilities to manage and support a small administrative team.
