The Opportunity



We're looking for an

Executive Assistant / Operations Manager

to step in as the right hand to our Broker and Founder. This is a leadership-level role for someone who thrives on responsibility, loves organization, and wants real ownership of systems, operations, and outcomes.

This is not reactive work. You'll anticipate issues before they arise, streamline inefficiencies, and continuously improve how the business operates. You'll protect your Broker's time, manage people and processes, and ensure nothing slips through the cracks.

Key Responsibilities



Executive Support & Leadership:

Gatekeeping, calendar strategy, scheduling, travel coordination, agendas, task systems, prioritization, and daily schedules.

Personal Support for Broker:

Assist with select personal errands and tasks that ensure efficiency and focus, such as coordinating appointments, managing personal scheduling, and occasional errands.

Office & Business Operations:

Vendor management, workflow oversight, troubleshooting, and maintaining a professional client-ready environment.

Team Management & Recruitment:

Recruit, train, and supervise our virtual assistant (with potential to expand as the team grows); assist with recruiting and onboarding new agents; build SOPs; and lead accountability check-ins.

Transaction & Listing Management:

Handle all transaction paperwork and documentation; oversee contracts, listing timelines, deposits, MLS compliance, photography, staging, and showings to ensure accuracy and deadlines are met.

Marketing & Brand Support:

Coordinate listing launches, manage content scheduling, create materials in Canva, liaise with photo/video vendors, and contribute ideas to strengthen social media presence and client engagement.

Client Experience:

CRM accuracy, onboarding systems, gifting, and professional resolution of concerns.

3+ years in operations, executive assistance, or real estate administration Management experience with remote or support staff preferred Organized, proactive, dependable, and detail-oriented Strong leadership and communication skills Valid driver's license and reliable transportation Flexible availability (including evenings/weekends) High level of professionalism, confidentiality, and discretion in handling sensitive business and personal information

Tech proficiency with these systems or equivalent real estate/operations platforms, including:

CRM systems (Follow Up Boss) Google Suite & Dropbox Brokerage software (Rezen) MLS tools (Matrix MLS, Proptx, Sentrilock, BrokerBay) Transaction & compliance tools (Authentisign, Webforms) Marketing/design tools (Canva)

Pay: $55,000.00-$85,000.00 per year
