Role Purpose

Provides executive support to senior leaders within LSEG
Provide administrative support within our Toronto office

Role Responsibilities & Key Accountabilities \xe2\x80\x93 Executive Assistant

  • Provides dedicated administrative and organizational support to up to 2 Senior leaders to enable them to be effective in their day-to-day activities and responsibilities
  • Provides end-to-end Inbox and diary management
  • Provides complex diary management support
  • Acts as the face of the leader in the case of face-to-face meetings
  • Supports incoming communication, correspondence on behalf of the Senior Leaders
  • Builds and maintains strong working relationships both internally and with clients and other key contacts
  • Arranges complex, multi-sector travel itineraries and accommodation, and manages complex expense processes
  • Assists with the co-ordination of Townhalls, Roadshows and offsite events for Senior Leaders
  • Identifies opportunities for continuous improvement to support the broader Executive Support community
  • Provides coverage for other EAs regionally, as needed


Role Responsibilities & Key Accountabilities \xe2\x80\x93 Office Services
  • Book and maintain schedule of meeting rooms for events including but not limited to town halls, wellness events, training and meetings, for the Toronto office
  • Place refreshment orders as needed
  • Work with Toronto staff and leadership as needed for events by helping to plan in-house or off-site activities like parties, celebrations and conferences
  • Assist the broader EA community with onsite support when their Senior Leaders are in Toronto
  • Work closely with facilities team to ensure office standards and service expectations are met
  • Assist with copying, printing, scanning documents, binding, bank runs and office correspondence
  • Maintain current phone lists for location-specific vendors


Candidate Background
  • Preferred experience as an Executive Assistant
  • Preferred experience in a financial services company or other fast-moving organization

  • Appetite for hard work and dedication to work hours required of the role
  • Able to liaise effectively at all levels of the organization
  • Display discretion and ability to respect confidentiality at all times
  • Ability to work independently with minimal supervision
  • Ability to operate with appropriate sense of urgency when approaching assigned tasks
  • Demonstrate confidence, professionalism, responsiveness and exceptional customer service to all visitors and associates
