Executive Assistant
to join our team.
Position Overview:
We are seeking a proactive, business-minded Executive Assistant who excels at anticipating needs, driving follow-through, and maintaining operational excellence. This role goes beyond traditional administrative support--it requires strong business understanding, sound judgment, and the ability to act as a strategic partner to the Executive.
The Executive Assistant will streamline communication, coordinate complex logistics, track and drive action items, and support the preparation of documentation, presentations, and decisions. The ideal candidate is detail-oriented, resourceful, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Executive Support & Communication
Provide dedicated, high-level administrative support to the Executive, with additional support to other leaders as needed
Act as a key liaison between the Executive, internal teams, and external partners
Ensure clear, timely, and professional communication on behalf of the Executive
Monitor executive inboxes, draft and refine written correspondence, and prioritize issues requiring attention
Business Operations & Follow-Through
Track action items across the organization and ensure timely follow-up, resolution, or appropriate delegation
Prepare, edit, and manage confidential documents, including reports, presentations, contracts, and briefing materials
Support coordination of project activities, reporting, simple data analysis, and budget tracking
Scheduling, Logistics & Organization
Manage calendars, appointments, meetings, and events, ensuring alignment with business priorities
Coordinate meeting logistics, prepare agendas, and ensure the Executive is fully briefed
Organize and maintain digital and physical filing systems to ensure information accuracy, accessibility, and compliance
Coordinate occasional travel arrangements and related documentation
Relationship & Stakeholder Management
Foster productive relationships across departments and with key external partners
Communicate with tact, professionalism, and discretion, especially when handling sensitive or confidential matters
Required Knowledge & Experience
3-5 years of experience providing executive-level administrative support in a corporate or professional environment
Strong business acumen with the ability to understand priorities, anticipate needs, and support decision-making
Proficiency in Office 365 applications, Teams, Zoom, and related collaboration platforms
Demonstrated experience with complex scheduling, event coordination, travel planning, and supporting budgets
Experience with project coordination, reporting, data analysis, or budget monitoring is considered an asset
Exceptional organizational skills, customer service orientation, and proven ability to handle confidential information
Strong interpersonal and problem-solving skills with the diplomacy required to work effectively across diverse stakeholders
