Position Summary



Reporting directly to the Executive Assistant to the Chief Executive Officer, the Executive Assistant provides high-level, confidential, and strategic administrative support. This role plays a key part in managing priorities, planning activities, coordinating internal and external communications, and organizing logistics.

Responsibilities



Manage incoming and outgoing correspondence for the executive team Handle the day-to-day internal and external calendars for the executive team Draft, proofread, and translate various documents (invitations, presentations, correspondence, memos, etc.) Coordinate executive team meetings Attend selected meetings, take minutes, and follow up on action items Prepare expense reports and ensure approval follow-ups Plan and coordinate international travel via the travel agency platform, as well as associated meetings or training sessions Collaborate with the communications team for the organization of various events Office management responsibilities including: Requesting minor repairs Liaising with the cleaning company Ordering supplies Any other related duties as required

Requirements



Degree in administration, office management, or a related field 2 to 5 years of experience in administrative support Experience supporting executive-level staff (an asset) Fully bilingual in French and English, both oral and written Excellent command of grammar in both French and English Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) Knowledge of Nitro Pro (an asset) Strong sense of organization, confidentiality, and priority management Autonomy, thoroughness, sound judgment, and diplomacy Ability to work under pressure and manage multiple tasks simultaneously High flexibility and strong team spirit
