We're looking for an
Executive Assistant / Operations Coordinator
who loves staying organized, takes pride in making things run smoothly, and thrives in a role where every day looks a little different.
About the Role
This position is the right-hand support to our leadership team. You'll handle scheduling, communication, and follow-through on a wide range of tasks, from coordinating meetings and events to keeping projects on track and ensuring information flows clearly between people and locations.
If you're someone who's detail-oriented, tech-savvy, and enjoys juggling multiple priorities while keeping everything (and everyone) organized, you'll fit right in.
This is a hybrid role, which requires in office work across our multiple locations throughout the GTA.
What You'll Do
Manage all incoming and outgoing communications, including emails, calls, reports, and internal correspondence
Keep the executive's calendar organized, including scheduling, rescheduling, and daily briefings
Serve as the primary point of contact for vendors, colleagues, clients, and partners
Maintain organized physical and digital files, including reports, meeting notes, and company records
Conduct research and prepare reports, summaries, or presentations as needed
Plan and coordinate external events such as conferences and team outings
Draft and update company policies that promote transparency, efficiency, and collaboration
Develop and maintain relationships with subcontractors, suppliers, and regulators
Ensure accuracy and due diligence in administrative tasks, reports, and invoices
Keep the team informed of project updates and operational priorities
Manage and respond to Google reviews; maintain and update the company's Google Business Profile
What You Bring
3+ years of experience supporting senior management or coordinating operations
Exceptional attention to detail and organizational skills
Strong written and verbal communication skills
Ability to research, analyze information, and prepare concise reports
High proficiency with
Google Workspace
(Gmail, Docs, Sheets, Calendar, Tasks, Meet)
Skilled in
Microsoft Office
and
Slack
Ability to coordinate across multiple schedules and tools
Strong time management; able to adapt quickly and prioritize effectively
Discretion and professionalism in handling sensitive or confidential information
Ability to work under pressure in a fast-paced environment
Familiarity with social media management, vendor relations, and fundamental financial analysis or budgeting
A positive, proactive attitude with the ability to motivate and collaborate at all levels
Valid G lisence, and reliable vehilce required.
Nice to Have
Experience in healthcare, professional services, or a multi-site organization
Event planning or policy development background
Work Details
Hybrid flexibility with some in-office days required
In-office days based at Canaray Mississauga & Canaray Toronto
Occasional travel to clinic locations or external events may be needed
