About the Role
We are a high-end custom homebuilding and development company seeking a proactive and energetic Executive Assistant (EA) to support both business operations and client care. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety, and brings both organizational precision and warmth to client and team interactions.
You will work directly with leadership to ensure smooth communication, timely execution of projects, and exceptional client experiences throughout the building process and beyond.
Key Responsibilities
1. Administration & Communication
Learn and use Buildertrend software for basic project management tasks.
Draft and send weekly email reports to clients summarizing work completed and upcoming activities, in collaboration with Buildertrend.
Manage emails and documents, ensuring timely responses to urgent requests
Handle call management and screening to prioritize communication flow.
Organize company and project documents using Google Workspace.
2. Client, Employee, and Trade Relations
Maintain strong communication with clients, trades, and employees.
Organize client/trade appreciation activities, milestone celebrations, and thoughtful touches (e.g., coffee and donut drop-offs at job sites).
Support a culture of positive jobsite morale and client satisfaction.
Coordinate events and client engagement initiatives.
Actively manage and strengthen client relationships through ongoing check-ins and professional communication.
3. Scheduling & Coordination
Manage the Director's personal and business schedule as it relates to work.
Assist with project coordination, including ordering finishing materials, printing site documents, and handling pick-ups/drop-offs of non-construction items (plans, engineering documents, etc.).
Oversee credit card payments, expense tracking, and general finance organization (personal and business).
Manage social media posting and engagement on behalf of the company.
4. Jobsite & Field Support
Visit job sites approximately once per week to deliver materials, documents, or client/trade items.
Act as a bridge between office and site operations, ensuring smooth information flow.
Required Skills & Attributes
Detail-oriented and highly organized (to apply, please include the word "Blueprint" in your resume--applications without this will not be considered).
Strong communication skills, both written and verbal.
Quick learner with the ability to adapt to new systems and processes.
Trustworthy and reliable with sensitive information and responsibilities.
Proficiency in Excel, Google Workspace, and ability to learn new systems quickly (Buildertrend experience is an asset).
Positive, energetic personality with a customer-service mindset.
Proven ability to manage multiple priorities and deadlines.
Reliable vehicle and valid driver's license (required).
Preferred Background
Experience in construction project coordination or client relations.
Prior EA or executive support experience is an asset.
