Position Overview





The Executive Assistant located in Southwestern Ontario will provide essential administrative support to the Executive Director, ensuring effective coordination of activities and smooth operational flow. This role involves managing communications, scheduling, and documentation, serving as a pivotal point of contact between the Executive Director, internal teams, and external stakeholders.


Key Responsibilities




Manage the Executive Director's calendar, scheduling meetings, appointments, and travel arrangements. Organize and prioritize emails and correspondence, preparing internal and external communications. Assist with project coordination, tracking progress, and ensuring adherence to deadlines. Support financial and budget planning, monitoring expenses, and preparing reports. Coordinate logistics for meetings and events, providing on-site support as needed. Collect and analyze data related to departmental activities, preparing reports and presentations. Identify inefficiencies in workflows and propose solutions for process improvement. Build and maintain positive relationships with staff and stakeholders to support organizational objectives.

Candidate Profile





The ideal candidate will possess a strong background in administrative support, with a proactive approach to managing multiple priorities in a fast-paced environment.


Minimum of 2 years' experience as an executive assistant or in a similar role. Proficiency in Microsoft Office Suite and other productivity tools. Strong organizational skills with excellent written and verbal communication abilities. Ability to handle sensitive information with discretion and confidentiality.

Candidates should demonstrate strong interpersonal skills, a high level of professionalism, and the ability to thrive under pressure while adapting to the needs of the Executive Director and the organization.


Salary & Benefits





This full-time position offers a competitive salary ranging from $70,000 to $75,000, commensurate with experience, plus pension and benefits. Our organization also values professional development and offers opportunities to grow within the role.
