The

Executive Assistant & Family Liaison (14-month term)

plays a key role in providing elite-level administrative and lifestyle support for senior executives and other key employees and their network. This role is ideal for an experienced professional accustomed to working in fast-paced, high-pressure environments where discretion, intuition, and exceptional organizational skills are critical to success. This position plays an active role in supporting prominent individuals with complex personal and logistical needs. In addition to the strong administrative support this individual will plan and execute curated events for employees and their families, including welcome gatherings, seasonal celebrations, milestone recognition, and private experiences.

What to be excited for in this role

:

Administrative & Department Support



Provide direct, high-level executive assistance to senior leadership, including inbox management, in office support, calendar assistance, travel coordination, document preparation, and meeting logistics. Act as a liaison between internal departments, external partners, and select high-profile clientele on behalf of executives. Coordinate confidential projects, reports, and sensitive documentation with precision and discretion meeting all timelines. Manage and reconcile expenses, handle ticketing, and process donations on behalf of senior leaders. Support logistics related to travel, off-site events, and board-level meetings. Handle sensitive personal matters including immigration coordination, housing logistics, and transitional planning for relocating individuals.

Employee & Family Relations



Act as a trusted point of contact for a select group of high-profile employees and their families, providing support with local relocation, lifestyle needs, and integration into the community. Deliver ongoing communication regarding logistics, engagements, events, and travel plans, ensuring a seamless experience. Build trust-based relationships while maintaining the highest standard of confidentiality and professionalism. Anticipate needs and accommodate a wide range of personal requests, handling both routine and complex situations with professionalism and discretion. Act as a discreet, attentive point of contact for spouses and partners, ensuring they feel supported, connected, and valued throughout the season. Foster a positive and inclusive environment among families by proactively managing dynamics and ensuring strong lines of communication always with tact and confidentiality.

Event Planning



Plan and execute curated events for employees and their families, including welcome gatherings, seasonal celebrations, milestone recognitions, and private experiences. Manage all event logistics including venue selection, transportation, catering, gifting, and experience design. Collaborate cross-functionally with marketing, community relations and True North Youth Foundation teams to align events with brand values and philanthropic initiatives. Gather feedback to continuously refine and elevate the experience.

What we need from you:



Proven experience supporting executives or high-profile individuals, ideally in sports, entertainment, luxury service, or corporate leadership. Unparalleled discretion and professionalism in managing sensitive, high-stakes situations. Excellent communication skills; confident, warm, and tactful with people from all walks of life. Exceptional organizational and multitasking abilities; excels at prioritizing competing demands, managing frequent interruptions, and meeting tight deadlines in a fast-paced environment. Proven self-starter, independent thinker, and exceptional problem solver who works effectively with minimal supervision. Experience in event planning and hospitality, including vendor management, logistics coordination, and onsite execution. Advanced proficiency with Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, and collaboration tools such as Teams, Zoom, and SharePoint. Proactive in handling matters, following through on projects to successful completion, and adapting to constant change with grace. Ability to take on additional duties as assigned by Senior Leaders. Flexible schedule, including evenings and weekends; presence at all Winnipeg Jets home games required.
