Position Summary



We are seeking a highly skilled and organized Executive Assistant to support our busy Consultancy. This role is central to ensuring that the Consultancy operates smoothly, efficiently, and in alignment with its mission of empowering families and supporting children in accessing educational opportunities.

Key Responsibilities



Manages the Executive Calendar, including prioritizing, scheduling, and confirming appointments and meetings. Coordinates logistics for internal and external meetings, preparing materials, and attending when required. Takes accurate, clear, and timely notes during meetings with all stakeholders. Drafts, edits and formats correspondence, reports, and other documents. Serves as a first point of contact for clients, stakeholders, and partners in a warm, empathetic, and professional manner. Communicates effectively with team members and clients to ensure smooth operations and timely completion of tasks. Assesses client needs and triages support within appropriate timelines. Maintains organized digital and physical filing systems. Prepares documents using Microsoft Word and other Microsoft Office tools (Excel, PowerPoint, Outlook), Google applications, and Apple products. Assists with client data management and reporting.

Required Skills & Qualifications



Minimum of 3 years' experience as a senior administrative/executive assistant. Experience in education, advocacy, non-profit, or clinical, fast-paced environments Familiarity with child development, educational systems, and/or advocacy work. Exceptional executive functioning skills - must be able to prioritize, organize, plan, and manage multiple tasks simultaneously. Excellent verbal and written communication skills. Strong technical aptitude with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint), Google Workspace, and Mac/Apple platforms. Strong attention to detail and commitment to producing accurate, high-quality work. Flexibility and resilience to thrive in a fast-paced, evolving work environment. Bilingual or multilingual abilities are considered an asset.
Job Types: Full-time, Permanent

Pay: $58,000.00-$70,000.00 per year
