Reporting to the Vice President of Investments. This position will provide support for the Investments team and will be responsible for a variety of tasks.

We\xe2\x80\x99re looking for an Executive Assistant for a 3-6 month contract (opportunity for extension) to support our Investments team at our head office. This role is Monday- Thursday in office, with Fridays working from home.

RESPONSIBILITIES

  • Coordinate meetings including taking and distribution of minutes, boardroom bookings, conference calls, social engagements, team events, travel arrangements, catering, IT resources, and other requirements in support of smooth and efficient business and meeting facilitation.
  • Field incoming telephone and digital inquiries and greet visitors at reception.
  • Manage filing system for transactions and related functions, including collection and organization of documents from internal and external parties, ensuring internal compliance reporting is completed and filed appropriately, and ensuring appropriate document retention and destruction practices are followed.
  • Processes invoices and expense reports in a timely manner and in accordance with accounting policies, and track actual expenses relative to budget.
  • Develop and maintain an excellent line of communication and strong working relations with internal and external parties.
  • Perform other duties as required.
QUALIFICATIONS
  • Have 2+ years of experience working in an administrative role.
  • Have post-secondary education in related discipline.
  • Are proficient with Microsoft Office products (Word, Excel, PowerPoint, Teams, SharePoint). Knowledge of Concur will be considered an asset.
  • Are eager for exposure to a commercial real estate office.
  • Have a proven ability to deal with confidential/sensitive issues using discretion.
  • Demonstrate excellent problem solving, organizational, interpersonal, and time management skills, and can meet strict deadlines with professionalism and accuracy.
  • Have exceptional written and oral communication skills.
