About the Opportunity
On behalf of our client in Ottawa, we are seeking a highly organized and proactive Executive Assistant to support a senior executive on a 6-month contract with the possibility of extension or permanency. This hybrid role is ideal for someone who thrives in a fast-paced, dynamic environment and can balance executive-level administrative tasks, scheduling, and project coordination with discretion and professionalism.
Duties include but are not limited to:

  • Manage and prioritize the senior executive's calendar, ensuring meetings, appointments, and travel arrangements are well coordinated
  • Prepare, edit, and format executive documents, reports, and presentations
  • Process expenses, reimbursements, and assist with contract preparation
  • Support project tracking by monitoring deadlines, deliverables, and collaboration tools
  • Organize and provide logistical support for training sessions, meetings, and events (in-person and virtual)
  • Prepare and distribute agendas, meeting materials, and record meeting notes, capturing action items and ensuring follow-ups are completed
  • Maintain accurate records and handle all documentation with strict confidentiality
  • Assist in implementing processes and systems to improve office efficiency
About You
The successful candidate will have the following:
  • Post-secondary education in business administration or a related field, or an equivalent combination of training and experience
  • Minimum 3 years' experience in an executive assistant or similar administrative role
  • Strong organizational and time management skills with keen attention to detail
  • Excellent written and verbal communication skills in English; French is an asset
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Microsoft Teams and Zoom
  • Flexibility, initiative, and strong interpersonal skills with the ability to work both independently and collaboratively
  • Experience in the non-profit or charitable sector is considered an asset
About the Job
The pay rate for this position will be between $28.00 to $33.00 per hour, depending on experience.
