We are seeking a highly organized, tech-savvy, and resourceful
Executive Assistant
to support our
Director, Plant Manager, and Senior Management Team
. This role plays a key part in keeping the Commissary running smoothly, supporting over 150 employees, and overseeing multiple business functions including HR, Accounting, Customer Service, Logistics, Maintenance, and Administration.
Key Responsibilities
Supporting the Director, Plant Manager, and senior leaders with administrative tasks, correspondence, scheduling, and meeting coordination
Maintaining accurate records and data entry for employee files, invoices, expenses, and maintenance logs
Managing logistics operations, including scheduling delivery routes, coordinating with the warehouse, and supervising a team of ~5 drivers
Assisting with HR functions including hiring, onboarding, orientation, disciplinary action, and employee records management
Tracking and processing invoices, expense reports, and general accounting documentation
Handling customer service inquiries, including catering orders, retail support, and communication with stores during peak periods
Coordinating maintenance scheduling for planned and emergency repairs, and liaising with vendors and service providers
Acting as the central communication hub for the Commissary, liaising with Head Office teams (HR, IT, Finance, Marketing) to ensure smooth operations
Managing reception, note-taking, data entry, and administrative reporting
Performing additional duties as required to support commissary operations and senior management
Requirements
3+ years' experience as an Executive Assistant, Office Manager, or Administrative Coordinator (experience in grocery, food production, or hospitality an asset)
Excellent organizational, multitasking, and time management skills in a fast-paced environment
Strong communication skills (written and verbal) with a professional, customer-service-oriented approach
Tech-savvy with proficiency in MS Office Suite; experience with ADP, ERP, or scheduling/dispatch software an asset
Experience supporting HR, logistics, and accounting functions
Ability to maintain confidentiality and discretion when handling sensitive information
Highly detail-oriented, resourceful, and adaptable
Post-secondary education in Business, Administration, or related field preferred
Flexibility to work additional hours during peak holiday seasons
