As our business grows, we're looking for a proactive, highly organized Executive Assistant.

Your Role & Responsibilities
Email & Calendar Management
- Prioritize emails, manage scheduling, and coordinate meetings efficiently.
Client & Broker Communication
- Act as a first point of contact for clients, investors, and brokers, ensuring smooth communication.
CRM & Workflow Optimization
- Keep our client database updated and improve workflow efficiency.
Office & Operations Support
- Manage office logistics, and assist with event planning.
Marketing & Social Media Assistance
- Help with content scheduling, Facebook, Instagram, YouTube, LinkedIn posts, and community engagement.
HR & Talent Acquisition Support
- Post jobs online, schedule interviews, screen resumes, conduct reference and background checks, and create offer letters.
Guest Feedback Management
- Respond to guest feedback through emails, surveys, and social media platforms.
Personal & Administrative Support
- Assist with travel planning, personal appointments, and general admin tasks.
Driving & Errands
- Occasionally run personal and business-related errands (e.g., document drop-offs, bank runs, etc).
Must-Have Skills & Experience
? 2+ years of experience as an Executive Assistant, HR Coordinator, or similar role
? Experience in finance, real estate, insurance, or mortgage lending (preferred but not required)
? HR support experience, particularly in talent acquisition
? Experience managing guest feedback through email, surveys & social media
? Exceptionally organized & detail-oriented - you love creating structure
? Strong communication skills - professional, clear, and proactive
? Tech-savvy - Comfortable with CRMs, productivity software, workflow automation, and AI
? Proficient in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, etc.)
? Self-starter - You take initiative and solve problems independently
? Discreet & trustworthy - You'll handle confidential financial and business information
? Valid driver's license and reliable vehicle for occasional errands (optional)
? Able to work in-person in Calgary (This is not a remote position)
Compensation & Benefits
