Executive Assistant - Travel Best Bets (Full-Time, In-Office - Burnaby Head Office)


Reporting to: President & Executive Leadership Team



Position Overview



The Executive Assistant will provide high-level administrative and operational support to the President and 3 Vice Presidents. This role requires exceptional attention to detail, confidentiality, and the ability to juggle multiple priorities with grace. You will be the go-to person for coordination, communication, administrative tasks, scheduling, and follow-through across the Executive Team.

This is a full-time, on-site role at our Head Office located at 201-3011 Underhill Avenue, Burnaby, BC.

Key Responsibilities



Executive Support



Handle a high volume of email and communication, prioritizing what needs immediate attention. Basic accounting tasks, credit card processing & accounts receivable management Assist in drafting correspondence, presentations, schedules, internal memos & reports. Help prepare materials for company-wide events, tradeshows, prize giveaways, conferences, supplier meetings & training sessions. Act as the central liaison between the Executive Team and internal departments. Maintain organized digital and physical filing systems. Support the creation and organization of internal processes, workflows, and corporate documents. Basic social media assistance.

Technology & Systems



Use and support key systems used by the Executive Team, including Google Workspace, Microsoft Office, CRM tools, scheduling platforms, and company-specific software. Assist with tech-based projects, onboarding processes, and communication tools. Troubleshoot minor tech issues and support the Exec Team in staying organized and efficient digitally.

Qualifications



Required



Minimum

3 years of experience as an Executive Assistant

supporting senior leadership. Outstanding written and verbal communication skills. High level of professionalism, discretion, and reliability. Strong organizational skills with the ability to manage multiple deadlines. Tech-savvy: confident using modern office software, calendar tools, cloud platforms, and communication & social media apps. Basic accounting knowledge (expense reporting, invoicing, reconciliations, etc.). Ability to work

full-time, on-site

at our Burnaby Head Office.

Preferred



Comfort working in a fast-growing, entrepreneurial organization. Experience supporting multiple executives simultaneously. Experience in the travel industry or corporate hospitality environment.
