About the position:

Grand Erie Public Health is seeking an experienced Executive Assistant to support our Medical Officer of Health, the Board of Health and, as needed, the Chief Executive Officer.

Key Responsibilities:

Organizes schedules, coordinates appointments and meetings, composes, and prepares confidential correspondence. Manages email communications. Coordinates the preparation of Board of Health reports, communications, operational plans, and special projects as required. Manages and prioritizes emails and calendar and coordinates internal and external meetings. Manages correspondence, prepares meeting materials, agendas, presentations, various reports, proofreads and edits documents, and manages confidential information. Attend meetings and record minutes. Provides administrative support including filing, copying, mailing, report generation, and ad hoc tasks. Provides issues management ensuring that correspondence, messages, and other communications get to the appropriate staff for response and ensures the Medical Officer of Health and/or Chief Executive Officer are aware of inquiries/issues and ongoing status. Provides administrative support to Directors and Board of Health as needed. The responsibilities described above are representative and are not to be construed as all-inclusive.

Qualifications:

The successful candidate must possess a Business Degree or Diploma in Office Administration, Office Administration - General, and/or Office Administration - Health Services, equivalent education with relevant and related experience may be considered. Minimum of two (2) years' experience in an executive assistant role. Experience in calendar management, administrative processes, coordination of meetings and reports, event planning and project coordination is required. Strong organizational and decision-making skills and the ability to prioritize multiple/competing tasks, coordinate committees and liaise with various internal and external partners using judgment and tact. Demonstrated attention to detail, the ability to work with minimal guidance, and manage confidential and politically sensitive information related to personnel, programs, and projects, is essential. Strong writing skills and ability to draft correspondence that is clear, concise, and grammatically correct. Excellent interpersonal skills, customer service skills, professional and mature attitude. Self-starter demonstrating initiative and ability to work independently and take appropriate action. Advanced computer skills, including excellent knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint) are required. Provincial reporting processes and procedures and previous experience in Public Health or Health Care environment are assets. Flexibility to work outside business hours as required. Possess a valid Ontario Driver's License and use of a reliable vehicle with valid insurance. Required to provide proof of immunization records including the full series of the COVID-19 vaccination.


Terms and conditions of employment in accordance with GEPH Administrative Policies and Procedures.

Salary range: $75,948.60-$88,852.40 annually. OMERS pension and a comprehensive Health and Dental benefits package.
