This position is responsible for providing comprehensive administrative and communications support to the Senior Vice President, Canadian Business Unit. This position also serves as the primary point of contact and is responsible for managing the operations of the Calgary office.

Responsibilities

  • Provide Executive Assistant services for SVP: Provide calendar management; prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Schedule, coordinate and manage executive business travel, complete business expenses, and assist with special projects.
  • Provide communications support and coordination for the Canadian Leadership Team (CLT): Provide a wide range of communication activities to the Canadian business units including the development of materials and electronic media inclusive of newsletters, presentations, social media posts, and all means of collateral and other tools to ensure appropriate messaging and brand strategy are effectively executed. Draft business-related communications (composing and preparing correspondence, memos, and announcements).
  • Work with corporate communications team and Human Resources to coordinate employee engagement activities (Townhalls, social events, newsletters, social media content), and coordinate logistics of community involvement activities (social events and tours).
  • Manage all aspects of office services for Calgary office. Answer the main phone line and respond to inquiries. Maintain general office functions, including office supply inventory and ordering, performing regular office rounds to ensure office equipment is in order. Act as a liaison with the building management on any suite needs (e.g., carpet cleaning, light fixture replacement, office temperature, etc.). Process and distribute daily mail. Evaluate and assist in developing office procedures for improved workflow and anticipate needs as organization evolves.
  • Perform other duties as they might be assigned.
Requirements
  • 3+ years of similar work experience in an Executive Assistant position or Office Manager position, communications position experience is an asset.
  • Proficiency with Microsoft Office, Adobe, and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Knowledge of latest social media best practices and technologies.
  • Proven history of building relationships.
  • Strong written and verbal communication skills.
  • Ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
  • Ability to work both independently and within a team environment.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Ability to operate in a fast-paced work environment and switch gears quickly between projects and deadlines.
  • Strong problem solving and decision-making skills.
  • Superior attention to detail with an eye for accuracy.
