We are seeking a versatile, self-starter for the role of Executive Assistant (EA). You will support a team of executives across time-zones to maximize their impact through managing schedules, facilitating communication, coordinating projects, and proactively getting things done through fanatical follow-up and meticulous organization.

Please Note: This job posting is for an 18 month term and will require the successful candidate to work at Benevity's Calgary or Toronto office location.

What you will do

  • Provide administrative support to multiple executives and their teams
  • Be a master scheduler on Mac - you know the ins and outs of Outlook and can manage multiple calendars at once. You never tire of invites and can make changes at the drop of a hat
  • Deliver project support like a pro - whether a weekly task, recognition effort or a new initiative, help manage project details from conception to completion
  • Manage meeting logistics, including deck compilation and review, room bookings, A/V and food orders for groups of 2 to 800
  • Develop communications, helping assemble proposals, presentations (Keynote), newsletters and other team communications
  • Support teams to execute events to connect our people and clients
  • Coordinate travel, including flight bookings and hotel reservations, and act as a host when clients or candidates visit Benevity
  • Complete monthly expense reports in Excel for senior leadership, as well as corporate Visa reconciliations
  • Rock ad-hoc tasks related to the business lifecycle and responsibilities of the management team
What you bring
  • 3-5 years of previous experience in an Administrative Assistant or Executive Assistant role
  • Responsive and self-starting approach with the ability to take initiative, prioritize key work and proactively manage needs for executives before they know they have them
  • Demonstrated attention to detail - whether it's a meeting invite, report or celebration
  • Ability to thrive in an evolving role requiring adaptability and an ability to take feedback and problem-solve
  • Excellent written and verbal communication skills
  • Experience working in a start-up or technology company is preferred
  • Proficiency with Mac, Outlook, Keynote, Box, Excel and Slack is an asset
