We are looking for an Executive Admin Supervisor to join our team. The ideal candidate would be trustworthy, highly organized, energetic, self-motivated, detail oriented and a team player with strong leadership skills. The role would be well suited to someone who is highly experienced in an administrative position and looking for the next step in their career.

Job Summary:


The Executive Admin Supervisor is a managerial role, responsible for overseeing a team of 5 to 6 administrative staff, managing office operations, and providing IT troubleshooting support to the internal team. This role ensures smooth daily operations of the office and provides support to accounting functions. You will report to the Director, Client Services.

Key Responsibilities include but are not limited to:



Administrative Support:



Supervise and support Accounting Clerks and Administrative Assistants. Team performance management and work assignments Assist with property transitions and client acquisitions. Manage and update the monthly office attendance schedule. Oversee office supplies and inventory Process and issue invoices related to office operational expenses. Provide backup support for various administrative tasks, including vacation relief. Assist with system updates, document management, and other ad-hoc requests. Administer company HR policies. Perform additional duties and work on new projects as assigned.

Accounting & Finance Support:



Process online bill payments and utility invoices for clients Run monthly bank reconciliations for pooled trust accounts, training can be provided. Download and process recurring vendor/utilities invoices. Assist with office annual financial processes, including Yardi system updates. Verify and process vendor EFT (electronic fund transfer) setups, obtaining necessary approvals.

IT & Software Support:



Provide basic troubleshooting for Office 365 and IT-related issues to internal team. Manage cloud-based phone software, including setup and troubleshooting. Assist the internal team with online portal property setup and user access updates.

Qualifications & Skills:



Minimum of four years of related work experience in customer service or administration. Previous work experience in real estate or property management is an asset. Advanced skills in Microsoft Office applications (MS Word, Excel, Outlook, Teams and SharePoint) and Yardi required. Strong knowledge of computer and IT troubleshooting. Familiarity with accounting processes and banking reconciliation is an asset, if not training can be provided Strong interpersonal skills and ability to work independently with minimum supervision as well as within a team environment. Excellent organizational and multitasking skills. Strong problem-solving abilities and attention to detail. Ability to handle sensitive information and maintain confidentiality. Clear and concise communication skills, both orally and in writing. High level of professionalism and excellent interpersonal skills. Ability to meet deadlines without compromising accuracy, excellent product quality, and attention to detail.

Job Types: Full-time, Monday to Friday, 9:00 AM - 5:00 PM. In-person office attendance required 5 days per week.

Salary Range: $53,000-$55,000, commensurate with experience and qualifications.
