Job Description

The Program Manager is responsible for overseeing the operational support associated with our Kelly program. Responsible for supervising the staff providing the day-to-day support for these accounts including work processes for effective communication, hiring, counseling, problem resolution, and resolution of payroll, billing, and expense issues. The person in this role is also responsible for developing and improving work processes, delivering and documenting employee training and orientation, development and maintenance of work instructions and technological solutions specific to their programs. This position interacts daily with temporary employees, customer hiring managers, account services staff, Shared Services staff, and other internal and external stakeholders.

As an Executive Assistant day to day tasks will be to provide a variety of administrative support to senior level executives. This support includes but is not limited to scheduling, travel management, managing deadlines and commitments, providing support in business presentation consolidation of reports, social and internal events management, data collection and correspondence preparation, and expense collection and submission.

Qualifications:

  • Bachelor's Degree in Business Administration or related field.
  • +3 years' related support experience preferred.
  • Previous background in running a P&L a plus
  • Ability to lead, manage and motivate a team
  • Excellent communication skills, written and verbal
  • Problem solving and process-oriented skills a must
  • Ability to develop and promote strong customer relationships
  • Ability to manage in a changing environment with constantly changing business needs and priorities
  • Ability to work effectively with all levels of management
  • Analytical ability - research and resolve issues using data
  • Detail oriented
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Proficiency with MS Office (Word, Excel, PowerPoint, email).
  • Excellent verbal and written communication skills.

Essential Job Responsibilities:
  • As Operations Manager
  • Complete and oversee the operational support associated with one of our Kelly programs including work processes for effective communication, hiring, training, counseling, problem resolution, and resolution of payroll, billing, and expense issues.
  • Prepare and deliver presentations and business reviews to customers and internal stakeholders.
  • Manage and supervise staff to ensure service commitments are met. Coach, counsel, and conduct performance reviews as necessary.
  • Track and measure general and program-specific data and metrics and report to customer, Kelly management and internal stakeholders as necessary.
  • Develop process improvements and work instructions to ensure we are effectively assisting our customer and temporary employees.
  • Participate in projects as assigned.
  • Additional Job Responsibilities:
  • Perform Executive Administrative position roles per Executive Administration
  • Provide proactive calendar management on an on-going basis.
  • Independently prepare correspondence and reports.
  • Manage emails/communications, identify critical levels of communications and the need for the Executive's notification.
  • Interpret and clarify requests and provides support with required responses and action.
  • Follow up on deadlines and commitments to or from Executives.
  • Prepare the VPs for weekly, monthly and quarterly reviews, meetings & routines, including electronic documentation management and all information reporting.
  • Coordinate meetings, conferences and travel arrangements for Executives and VIP visitors.
  • Provide professional and confidential executive support.
  • Handle employee/customer requests and concerns with tact and diplomacy.
  • Prioritize the VP's time against the highest impact activities.
  • Support the preparation of business presentations.
  • Plan, schedule and manage logistics related to meetings and conferences.
  • Lead or assist in the planning and facilitation of internal company and client events.
  • Record, transcribe and distribute minutes of meetings.
  • Perform general administration support for Executives which includes processing expenses, courier shipments, & copies.
  • Other tasks as assigned to support the business.

  • Documentation: Checklists, forms, and Knowledge based documents to be updated as assigned.
