Executive Administrative Assistant

Office Manager/Bookkeeper

who can assume comprehensive responsibility for managing all aspects of our office operations. This individual will provide high-level administrative support to two senior executives while overseeing accounts payable, vendor relations, and ensuring the smooth operation of daily business functions.

The ideal candidate must be fluent in English and possess excellent verbal and written communication skills. This is a critical role requiring exceptional organizational abilities, attention to detail, and the confidence to take initiative in a dynamic work environment. This candidate shall possess exceptional organizational and communication skills, sound judgment, and a proactive mindset. This is a pivotal role requiring discretion, professionalism, and the ability to manage multiple priorities with precision and confidence.

Key Responsibilities:



Provide executive-level administrative support, including calendar management, scheduling, travel coordination, and meeting preparation for two senior executives Oversee all aspects of office management to ensure smooth and professional daily operations Handle all accounts payable and basic bookkeeping tasks Liaise with vendors, service providers, and building management Manage vendor relations and maintain accurate records of expenditures and contracts Act as the primary point of contact for internal staff, external partners, and service providers Draft, review, and maintain confidential correspondence and documentation Anticipate needs and take proactive steps to keep everything running efficiently Proactively identify and address operational needs to support organizational effectiveness Payroll, statement reconciliation, receivable, and accounts payable

Qualifications:



Minimum of 5 years of experience in a senior administrative or office management role Demonstrated ability to manage complex schedules and multiple priorities Proficiency in Microsoft Office Suite, Google Workspace, and accounting software (e.g., QuickBooks) Strong attention to detail, with excellent written and verbal communication skills High level of discretion and professionalism in handling sensitive information Ability to work independently and exercise sound judgment in a fast-paced environment
